Hinckley Allen is seeking an Accounts Payable Clerk to join our Albany, NY, Boston, MA, Fort Lauderdale, FL, Hartford, CT, Manchester, NH or Providence, RI offices. This position will perform a variety of accounts payable functions including vouchering, aging and payment of vendor invoices. This position will maintain contact with attorneys, staff and vendors and observes confidentiality of client and firm matters.
Essential Duties and Responsibilities:
- Pays and keeps record of all invoices. Provides copies of paid invoices to staff and attorneys as required.
- Utilizes computerized accounting, billing and payables software programs. Generates reports using accounting software.
- Reviews purchase orders, statements, and invoices to verify amounts owed.
- Processes employee expense reimbursements, check requests, and petty cash requests in a timely manner.
- Maintains contact with vendors, attorneys and staff on payables matters. Responds to vendor inquiries and resolves any discrepancies in billings and payments.
- Keeps track of all company credit card spending and makes payments on credit accounts.
- Other general administrative and accounting duties as assigned.
Knowledge, Skills and Abilities:
- Ability to read, write and perform arithmetic computations at a level normally acquired through completion of high school or equivalent, to maintain and verify accounts.
- Proficient in Microsoft Office Suite and iManage document management system.
- 2-3 years of experience strongly preferred in order to have an understanding of finance policies and procedures. Previous experience in a law firm or professional services organization a plus.
- Ability to organize and prioritize numerous tasks and complete them under time constraints.
- Ability to respond to requests requiring analysis of vendor billing histories and other basic financial analyses.
- Interpersonal skills necessary in order to communicate in person, by e-mail and telephone and follow instruction effectively from a diverse group of attorneys, clients and staff and to provide information with ordinary courtesy and tact.
- Work occasionally requires a high level of mental effort and strain when performing a high volume of clerical tasks and performing other essential duties.
- Work occasionally requires more than 40 hours per week to perform the essential duties of the position.
