Location: Hinata Retreat, Charlemont, MA
Reports To: Owner / General Manager
Schedule: Full-time, Thursday–Monday (7:00 AM – 3:00 PM typical hours)
Compensation: $22–$26 per hour, depending on experience
Position Summary
The Guest Experience Coordinator ensures that every guest stay at Hinata Retreat begins and ends flawlessly. This role blends hospitality, organization, and attention to detail — overseeing breakfast and lunch deliveries, creating romance and celebration packages, and preparing cabins for arrival with the warm, elevated touches that define Hinata.
You are the behind-the-scenes heartbeat of the guest experience, ensuring every detail feels intentional and effortless.
Primary Responsibilities
Food & Beverage Delivery
- Deliver breakfast and lunch orders promptly and discreetly to guest cabins.
- Ensure each order is beautifully presented, accurate, and temperature-controlled.
- Retrieve trays, containers, and dishware after service.
- Communicate with the kitchen and market team to coordinate delivery timing.
Room Preparation & Special Packages
- Assemble and stage romance, birthday, and seasonal packages (candles, flowers, wine, décor).
- Set cabins for arrival — lighting, scent, music, and presentation — to create an immediate sense of calm and luxury.
- Work with housekeeping to confirm cleanliness and readiness before guest check-in.
- Maintain a schedule of upcoming arrivals and special requests.
Market & Supplies
- Restock the on-site market and lounge with packaged food, drinks, and supplies.
- Maintain inventory of package materials (gift items, decorations, food containers).
- Keep all prep, storage, and delivery areas organized and spotless.
Guest Relations
- Serve as a professional and discreet point of contact for in-house guests.
- Respond promptly to guest requests for items, deliveries, or adjustments.
- Communicate guest preferences and feedback to management in real time.
- Uphold the calm, polished tone that reflects the Hinata Retreat brand.
Qualifications
- 1–2 years of experience in hospitality, guest services, or event setup preferred.
- Exceptional attention to detail and eye for presentation.
- Highly organized, self-motivated, and dependable.
- Comfortable working independently and managing multiple priorities.
- Valid driver’s license and clean driving record (golf cart or small vehicle use required).
- Ability to lift up to 40 lbs and walk the property safely and efficiently.
- Professional appearance and demeanor appropriate for a luxury environment.
