What are the responsibilities and job description for the Night Auditor/Front Desk Agent position at Hilton St. Louis Frontenac?
Position Purpose:
Balances room, restaurant and bar daily work. Posts and balances charges and settlements in a timely and efficient manner. Maintains files and resets the systems for next day operations. Operation of the front desk during shift.
Examples of Duties:
Prepares daily Restaurant Revenue Report data by auditing Micros tapes/journals to breakdown revenue, covers, waiters’ fees, tips paid out and settlements by type and cashier.
Runs audit reports/journals from the East Front Office Mainframe, the Micros computer, and the North System for the Automated Credit Card. Must understand and pass training in Hilton OnQ.
Makes corrections and adjustments and handles all computer problems that might occur throughout the shift.
Inputs into the computer, revenue/expenses/allowances to generate the daily reports such as the Guest Ledger Summary and the Daily Restaurant Summary.
Balances all revenue and settlement accounts nightly, maintains files and resets the system for next day operations.
Performs other duties and responsibilities asked by the Controller based upon department needs, including the operation of the front desk, always insuring guest satisfaction.
Other:
Regular attendance in conformance with the standards, which may be established by Hilton from time to time, is essential to the successful performance of this position
Due to the cyclical nature of the hospitality industry, employees may be required to work varying schedules to reflect the business needs of the hotel, including holidays.
Upon employment, all employees are required to fully comply with Hilton rules and regulations for the safe and efficient operation of hotel facilities. Employees who violate Hotel rules and regulations will be subject to disciplinary action, up to and including termination of employment.
Supportive Functions:
In addition to performance of the essential functions, this position may be required to perform a combination of the following supportive functions, with the percentage of time performing each function to be solely determined by the supervisor based upon the particular requirements of the hotel.
Ensures all reports and back-up vouchers are complete and filed properly.
Ensures that all necessary copies of documents/back-up and reports of daily work are distributed to the proper person (i.e. A/R, A/P and Payroll).
Reviews and corrects discrepancies in the Front Desk System.
Coordinates with the front desk and restaurants/bars closing to facilitate a smooth operation of file maintenance and reset of system totals for next day operations.
Specific Job Knowledge, Skill and Ability:
The individual must possess the following knowledge, skills and abilities and be able to explain and demonstrate that he or she can perform the essential functions of the job, with or without reasonable accommodation, using some other combination of skills and abilities.
Knowledge of accounting operations to include all aspects such as accounts receivable, accounts payable, etc.
Basic mathematical skills and ability to operate a 10-key by touch..
Ability to effectively deal with guest and employee concerns in a friendly and positive manner. This involves listening to the nature of the concern, demonstrating empathy with the customer and providing positive and proactive solutions.
Ability to access and accurately input information using a moderately complex computer.
Ability to read, write, and speak the English language to communicate with fellow employees and guests. Must have excellent telephone etiquette skills.
Qualification Standards:
Education:
Any combination of education and experience equivalent to graduation from high school or any other combination of education, training or experience that provides the required knowledge, skills and abilities. High school diploma required.
Experience:
One-year experience in a similar sized operation required. Hotel experience preferred.
Licenses or certificates:
No special licenses required.
Grooming:
All employees must maintain a neat, clean and well-groomed appearance (specific standards available).
