- Coordinate, prepare, and handle Title Services requests, including resales, name changes, gift transfers, inventory recovery, title searches, and cancellations.
- Prepare deeds and other necessary paperwork to ensure documents accurately capture requested information.
- Build and open new contract files in systems, update and maintain spreadsheets to track all activities.
- Verify the accuracy of documents, including finance, recordable, and title, prepared and delivered to owners via DocuSign, FedEx, or USPS.
- Conduct title searches for clear title, resolving title defects and satisfying existing liens against properties or principals.
- Coordinate processing of payments to ensure accurate disbursement of funds to buyers and sellers.
- Maintain and track contract files/documents to ensure accuracy, securing necessary signatures and auditing all documents for compliance prior to closings.
- Review and track all completed documents, including cancellations, once returned to ensure clear title prior to recording.
- Coordinate and process all mailings.
- Audit pertinent information to ensure document files align with underwriting guidelines and title requirements.
- Handle high transaction volumes and deliver tasks within strict deadlines in a fast-paced, demanding environment.
- Provide outstanding customer service throughout the title process to all collaborators.
- Achieve high production totals while maintaining a low error margin.
- Complete closings by recording and filing documents, preparing, and distributing final closing statements.
- Coordinate corrections, adjustments, and modifications to contract documentation and payments as necessary.
- Interact with pertinent personnel and departments to process contracts through verification and posting to the computer system as owners.
- Assist with processing cancellations on a monthly or as-needed basis.
- Perform escrow-related functions to align with regulatory requirements and management or other internal customer needs.
- Establish escrow accounts by depositing funds and maintaining records.
- Review and audit all deeds before sending them to the counties for recording. Track all issues found with recording packets and manage their resolution promptly.
- Collaborate with review, audit, and mail-out of title policies for all resales and developer sales.
- Complete all required company trainings and compliance courses as assigned.
- Carry out any reasonable request by management that the employee is capable of performing.
- Possess excellent organizational skills.
- Have good written, verbal, and communication skills.
- Ability to multi-task and work well under pressure.
- Enthusiastic great teammate attitude.
- Experience with MS Excel, including crafting and maintaining spreadsheets.
- Prior experience in timeshare is advantageous.
- Knowledge of the documents required for a timeshare closing.
- Additional Excel skills are a plus.
- Experience with Streamline and Simplifile is advantageous.
- Notary Public certification.
