- Manage multi-line phone systems efficiently, directing calls accurately and courteously using proper phone etiquette
- Handle incoming correspondence, including emails and mail, with attention to detail and promptness
- Maintain appointment schedules by managing calendars and coordinating meetings using tools like Google Workspace or Microsoft Office
- Perform data entry tasks such as updating records in QuickBooks or other office management software with precision
- Organize and file documents systematically to ensure easy retrieval and maintain confidentiality of sensitive information
- Support office management duties including supply inventory, filing systems, proofreading documents, and general clerical tasks
- Assist with bookkeeping activities such as basic bookkeeping entries or tracking expenses when needed
- Provide administrative support as a personal assistant by managing tasks like calendar management and appointment reminders
- Ensure the reception area remains tidy, professional, and welcoming at all times
- Support additional duties related to medical or dental receptionist responsibilities if applicable
Experience
- Prior office experience demonstrating strong organizational skills and proficiency in computer literacy tools such as Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace
- Experience in customer service roles emphasizing excellent communication skills and professional phone etiquette
- Familiarity with multi-line phone systems, data entry, filing procedures, and clerical tasks
- Bilingual abilities are highly valued to assist diverse client needs effectively
