Duties
- Greet visitors, clients, and vendors warmly, ensuring they feel welcomed and attended to promptly
- Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette
- Handle incoming correspondence, emails, and inquiries with clarity and professionalism
- Maintain organized filing systems, data entry records, and manage document proofreading for accuracy
- Support office management tasks such as calendar management, appointment scheduling, and coordinating meetings
- Assist with bookkeeping tasks using QuickBooks or similar accounting software when needed
- Perform general clerical duties including typing, photocopying, faxing, and maintaining office supplies inventory
- Support customer service efforts by providing timely support and resolving basic inquiries or issues
Qualifications
- Proven experience in office administration or clerical roles, preferably as a receptionist or personal assistant
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace tools
- Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
- Bilingual abilities are highly desirable to serve diverse client needs
- Experience with front desk operations, data entry, filing systems, and time management techniques
- Knowledge of medical or dental receptionist duties is a plus but not required
