We are looking for an Assistant to perform a variety of administrative tasks and support our company’s senior-level managers. Executive Assistant’s responsibilities include managing calendars, making travel arrangements and preparing expense reports. To be successful in this role, you should be well-organized, have great time management skills and be able to act without guidance. Ultimately, you will contribute to the efficiency of our business by providing personalized and timely support to executive members.
Responsibilities
- Manage information flow in a timely and accurate manner
- Manage executives’ calendars and set up meetings
- Make travel and accommodation arrangement
- Format information for internal and external communication – memos, emails, presentations, reports
- Screen and direct phone calls and distribute correspondence
- Organize and maintain the office filing system
- Practice & Business Support:
- Calendar Mastery: Manage a complex clinical and professional calendar, ensuring no overlaps between patient care, and administrative time.
- Clinic Workflow:
- Assist with high-level administrative tasks (credentialing follow-ups, coordinating with vendors, and managing physician intake forms).
- Communications: Act as a gatekeeper, managing professional correspondence and ensuring timely responses to inquiries.
- Project Coordination:
- Help track progress on growth initiatives, like new website development or marketing campaigns.
- Personal & Family Support:
- Family Logistics: Manage the daily schedule for three children, including school activities, sports, and appointments.
- Household Coordination: Handle local errands, grocery orders, and coordination with household vendors (repairs, cleaning, etc.).
- Travel Planning: Manage all logistics for professional conferences and family vacations (flights, hotels, itineraries).
- Morning/Evening Flow: Help ensure the "morning rush" and "after-school" transitions are seamless.
Requirements
- Work experience as an Assistant, Personal Assistant or similar role
- Excellent MS Office knowledge
- Outstanding organizational and time management skills
- Familiarity with office gadgets and applications (e.g. e-calendars and copy machines)
- Excellent verbal and written communications skills
- Discretion and confidentiality
- High School degree
Pay: $15.00 - $20.00 per hour
Expected hours: 18.0 per week
