The Centralized Administrative Specialist, under the direction of the Director of Operations, is responsible for administrative duties and backup/support of many of the centralized business operation specialized services (Pharmacy Liaison, Medical Records, Insurance, Disability Application Specialist). This is a person-centered and customer-driven position requiring a highly motivated and compassionate can-do attitude. Providing a positive customer experience in a person-centered environment is a leading performance expectation. Primary duties include the coverage and backup of the specialized business operations team. The centralized Administrative Specialist will at times also perform financial assessments (with individuals in services via video), as well as communicate professionally with clinic staff, prescribers, nurses, and other professional services. May scan and attach documentation into the Electronic Health Record (EHR) timely and accurate manner according to Hill Country MHDD Centers procedures. The centralized Administrative Specialist, using excellent customer service skills, will meet customer service expectations, respond to questions appropriately and timely manner, and provide a person-centered approach with every interaction. Other duties include, but are not limited to, completing various data entry tasks, utilization and entry into the electronic health record, and support in completing financial assessments. Candidates must have excellent problem-solving, organizational, and decision-making skills. Great time management, communication, customer service, and phone skills are a must. Additionally, it is essential to be comfortable using multiple data/software systems.

The Centralized Administrative Specialist, under the direction of the Director of Operations, is responsible for
- Pharmacy Liaison back up duties include: monitoring the override portal/shared drive, utilization of several patient portals, medication inventory, problem solving with pharmacy staff, working closely with the Medical Director and Director of Nursing to approve overrides, coordination and communication with clinic staff to safely and efficiently ensure medication is provided to individuals in service as prescribed and in accordance with the medication formulary.
- Medical Records backup duties include coordinating with the Medical Records Specialist and providing support during high-volume request periods. Medical records are stored in the electronic health record system and extracted from the same system.
- Insurance Specialist support duties include data entry requests when special projects require additional support to complete.
- Disability Application Specialist support duties include filing and organizing paperwork as requested, and the pick-up and delivery of mail to the team.
- Providing excellent customer service to individuals in person, on the phone, and by email
- Utilization of the electronic health record in a safe and secure manner.
- Fax outgoing information, scan incoming documents into the chart as needed.
- Submit purchase orders, payment requisitions, and invoices for processing.
- Maintain assigned areas, ensuring all areas are person-centered and trauma-informed.
- Manage time to support the time-sensitive nature of documentation and support services deadlines.
- Maintain cross-training in Patient Assistance Program (PAP) services, financial assessment services, and other administrative duties as assigned by the Director of Operations.
- Data entry.
- Protect the confidentiality of individuals and their records by complying with Hill Country MHDD Centers' patient confidentiality and HIPAA policies and procedures.
- Interact positively and in cooperation with other members of the organization and team, including active participation in supervision activities, team meetings, continuing education, etc.
- Work independently, requesting assistance from the team and supervisor as needed.

- A valid Texas State Driver’s License.

- Crosstrain to cover other positions within the workgroup as needed.
