About the Role
Maximo Scheduler – Functional Lead
Role Summary
The Maximo Scheduler Functional Lead is responsible for designing, configuring, and optimizing work scheduling processes in IBM Maximo Scheduler (or Scheduler Plus) to support efficient maintenance execution. This role bridges maintenance operations, planning, and IT to ensure schedules are realistic, resource-aware, and aligned with operational priorities.
The Functional Lead owns the end-to-end scheduling solution—from business process definition through configuration, testing, and user adoption.
Key Responsibilities
Functional Leadership
- Act as the primary functional owner of Maximo Scheduler/Scheduler Plus.
- Translate maintenance and operations requirements into Scheduler configurations.
- Lead design decisions related to job plans, labor and crew availability, calendars, shifts, constraints, and priorities.
- Serve as the escalation point for complex scheduling and optimization issues.
Business Process Design
- Define and document to-be scheduling processes (weekly, daily, outage, and long-range planning).
- Align scheduling practices with maintenance strategies (preventive, corrective, condition-based).
- Establish standards for work order readiness, backlog management, and schedule compliance.
- Ensure scheduling supports safety, regulatory, and reliability requirements.
Maximo Scheduler Configuration
- Configure Scheduler elements including:
- Labor and crew calendars
- Shifts and availability
- Skills, crafts, and qualifications
- Job plans and task sequencing
- Work priority rules and constraints
- Configure schedule optimization parameters (where applicable).
- Ensure Scheduler integrates cleanly with core Maximo work management.
Stakeholder Engagement
- Work closely with:
- Maintenance planners and schedulers
- Field supervisors and operations leadership
- Asset management and reliability teams
- IT and Maximo technical teams
- Facilitate workshops to validate requirements and demonstrate solutions.
- Drive alignment between business expectations and system capabilities.
Testing & Deployment
- Lead functional testing (SIT/UAT) for Scheduler-related enhancements.
- Validate schedules against real-world scenarios and constraints.
- Support cutover planning and go-live activities.
Change Management & Adoption
- Develop training materials and job aids for planners and schedulers.
- Support user training sessions and early-life support.
- Promote adoption and consistent use of Scheduler functionality.
- Define KPIs such as schedule compliance, backlog health, and wrench time.
Required Qualifications
Experience
- 5 years of experience with IBM Maximo, including Scheduler or Scheduler Plus.
- Strong background in maintenance planning and scheduling in asset-intensive industries (utilities, energy, transportation, manufacturing).
- Hands-on experience configuring Scheduler—not just user-level knowledge.
Functional Skills
- Deep understanding of:
- Work management lifecycle
- Job plans and task sequencing
- Labor, crew, and craft management
- Preventive maintenance strategies
- Ability to balance operational realities with system constraints.
Soft Skills
- Strong facilitation and communication skills.
- Ability to challenge “this is how we’ve always done it.”
- Comfortable working with both field personnel and executives.
- Organized, detail-oriented, and outcomes-focused.
Preferred Qualifications
- Experience with Maximo Manage (MAS).
- Utility industry experience (electric, gas, water).
- Exposure to outage or shutdown scheduling.
- Knowledge of change management and organizational adoption practices.
- IBM Maximo certification (Scheduler, Manage).
Remote with Travel onsite to client (NY/NJ)
