Position Summary
Highlife Recovery is seeking an organized, dependable, and motivated Executive Assistant to directly support the company’s CEO, who also serves as Medical Director.
This position will assist with scheduling, credentialing, property acquisitions, business formation, leadership communication, and projects managed through the executive office. The role involves a wide variety of responsibilities, and the ideal candidate will be comfortable learning new processes, managing multiple priorities, and following tasks through to completion.
Previous experience in every area listed is not required. We are willing to train the right person who demonstrates strong organization, professionalism, discretion, and initiative.
Responsibilities
- Manage and coordinate the CEO’s calendar, meetings, appointments, and reminders.
- Help organize the CEO’s priorities, deadlines, and follow-up items.
- Coordinate communication between the CEO and other members of leadership.
- Assist with physician and company credentialing, enrollment, renewals, and document collection.
- Help maintain licenses, certifications, insurance documents, and other credentialing records.
- Assist with property acquisitions by scheduling meetings, gathering documents, tracking deadlines, and communicating with involved parties.
- Help with forming new LLCs and organizing business records and required filings.
- Coordinate projects assigned through the executive office.
- Prepare and organize emails, letters, spreadsheets, reports, meeting notes, and other documents.
- Communicate with vendors, attorneys, accountants, insurance companies, government agencies, and business partners as needed.
- Track outstanding tasks and follow up with staff or outside parties.
- Maintain confidentiality regarding business, employee, financial, medical, and legal matters.
- Assist with special projects and other duties assigned by the CEO.
Qualifications
- High school diploma or equivalent required.
- Previous administrative, office, healthcare, customer service, or project-coordination experience preferred but not required.
- Strong organization, communication, and follow-through.
- Comfortable using Microsoft Outlook, Word, Excel, Teams, and similar programs.
- Ability to learn new systems and processes.
- Ability to manage multiple assignments and shifting priorities.
- Professional judgment and respect for confidentiality.
- Reliable attendance and dependable transportation.
- Valid driver’s license preferred due to occasional local travel.
Ideal Candidate
The ideal candidate is organized, trustworthy, and willing to learn. This person should be comfortable taking direction, asking appropriate questions, communicating with a variety of professionals, and keeping track of multiple projects at the same time.
Experience in healthcare, credentialing, real estate, or business administration is helpful, but not required. Training will be provided.
