Groups Coordinator
The Groups Coordinator supports the mission of Highland Park United Methodist Church by cultivating meaningful communities in order to help people become deeply devoted followers of Christ. This position is responsible for coordinating, promoting, and supporting small groups throughout the year, with a particular focus on planning and executing successful small group launch events in the spring and fall. The coordinator works closely with clergy, staff, and small group leaders, using the TouchPoint church database to manage data, communication, and engagement. The Groups Coordinator also assists the Pastor of Connections and Community in walking people into community, whether that’s through small groups, Sunday Morning Classes, or Wesleyan Bands.

Working Hours: This is a Full-time position that will work at least 36 hours per week.
Anticipated Schedule: Monday-Thursday 8:30 - 5:00; (includes 30-minute unpaid lunch break); Sundays 8:00 - 12:00
During certain times of the year, additional hours may be necessary to meet the job's demands. All church staff will be asked to support and serve for religious holidays and worship services including Christmas Eve and Easter.
Job Responsibilities and Duties:
Small Group Planning & Launch
- Plan, organize, and execute church-wide small group launch events each spring and fall.
- Manage registrations for Small Group Launches.
- Coordinate logistics for launch events, including scheduling, space setup, materials, and volunteer support.
- Collaborate with ministry staff to align small group offerings with the demographic needs and goals of the church.
Small Group Support & Communication
- Recruit, onboard, train, and support small group leaders.
- Maintain regular communication with small group leaders to provide resources, encouragement, and guidance.
- Serve as a primary point of contact for questions related to small group participation and leadership.
- Maintain the policy for Small Groups and ensure that the leaders of Small Groups understand and abide by the policy.
Database & Administrative Management
- Maintain accurate small group and participant records using church database software.
- Maintain accurate statistics on small group status (active, dissolved, inactive, etc)
- Track attendance, engagement, and participation metrics for reporting and follow-up.
- Generate reports and assist with data-informed decision-making related to small group ministry.
Additional
- Work with Sr. Director of Spiritual Formation to develop and operationalize administration and stewardship over Bands, HPUMC’s third type of community.
- Work with communications staff to promote small groups through church communications, including email, website, and print materials.
- Assist individuals in finding and connecting with appropriate small groups.
- Support ongoing efforts to strengthen belonging and spiritual growth through small groups among all demographics and worship venues at HPUMC.
- Stay abreast of best practices and trends in creating meaningful small group environments for congregants.
- Oversee Small Group leader appreciation, training, and recognition efforts.
- Serve regularly in the Hub (once monthly anticipated).

Education and Desired Skills:
- 2 years of ministry experience (as volunteer or staff member)
- Self-motivated and strong organizational skills
- Strong written and verbal communications skills
- Accepts constructive criticism and applies feedback
- Great interpersonal skills with the ability to be flexible
Preferred Software Experience:
- Microsoft Office Suite
- Touchpoint Church Management System
- G Suite (Google, Gmail, Calendar, etc)
