Position Summary

The Business Office Manager is responsible for managing billing, collections, payroll reporting, and Medicaid processes while supporting the overall financial operations of the community.

The ideal candidate has strong knowledge of Illinois Medicaid programs, excellent organizational skills, and experience working in a senior living or long-term care environment.

About the Role:

The Business Office Manager is responsible for managing all business office functions in accordance with HFS Supportive Living Program (SLP) rules and regulations. This role supports financial, administrative, HR, payroll, resident admission documentation, and reporting processes to ensure the facility operates smoothly and remains compliant.

Reports To: Facility Executive Director (direct) and Corporate AR/AP/HR/Payroll Managers / Workforce Development (indirect)

What You'll Do:

• Resident Financial & Medicaid Support
• Pre-approve and set up resident financial files in accordance with SLP and HFS guidelines (as applicable).
• Support obtaining and retaining Medicaid eligibility and REDE’s.
• Determine eligibility for Medicaid under current HFS rules.
• Complete resident admission documentation in the PCC system.
• Complete required background checks for new residents, including Sex Offender registry checks, per rules and regulations.
• Payroll & HR Responsibilities
• Prepare payroll for bi-weekly processing, including missing punch entry and ensuring timecards are approved.
