Position: Program Assistant, non-exempt
Reporting to: Program Director, Executive Director
Hiring Range: $20/hour
Available hours for this position vary seasonally
- 32-40 hours weekly between Dec 1 - March 31
- 10-20 hours weekly between April 1 - Nov 30
- Potential full-time availability, program dependent
- Location: Flagstaff, AZ
The Position- The Program Assistant (PA) acts as the first point of contact for HCAS athletes, family members, instructors, volunteers, community members, and partner organizations. With support from the Program Director (PD) and Executive director (ED) the PA will coordinate safe, fun, and high quality year-round adaptive sports programming for the disability community.
This role includes: Facilitating programming; and working with the PD in all event planning and logistics; volunteer and participant recruitment, scheduling, and communication; assisting the PD in training, post-program reporting, and database and equipment management.
Job Responsibilities & Duties
- Participate in the planning, on-site coordination and post-event reporting for HCAS programming for a wide variety of individuals with cognitive, development, and physical disabilities ages 4 and up.
- Assist PD in recruitment, registration, scheduling, and billing for HCAS athletes, groups, and volunteers.
- Facilitate the registration process: tasks may include speaking to prospective participants and volunteers, sending out registration information, receiving and reviewing incoming documents, communicating in a timely manner, and taking Zoom and in-person meetings.
- Maintain online records through HCAS database
- Maintain a Program Calendar and share information about upcoming and past event via social media with HCAS athletes, families, and community members
- Maintain respectful and efficient communication with athletes, volunteers and staff team of over 50 people.
- Support PD with data entry of programming and administrative tasks
- Support PD in fostering relationships with HCAS community partners
- Assist in training volunteers and upholding HCAS risk management policies and procedures
- Coordinate and assist in preventative and corrective equipment maintenance
- Instruct adaptive ski/snowboard lessons
- Drive program vehicles, including accessible bus with ramp, and trailers up to 17’ in length
- Present a professional, positive, and inclusive image of HCAS in our community
- Uphold all HCAS policies and procedures
- Participate fully as a member of the HCAS team
- Other duties as assigned
Qualifications
- Bachelor’s Degree and 2 years of coordinating/leading outdoor recreation programs
- 2 yrs. Experience working with individuals with disabilities
- PSIA/AASI L1 ski/snowboard certification desired or willingness to obtain within first year
- BICP aMTB level 1 or 2 certification desired or willingness to obtain within first year
- Wilderness First Responder Certified desired
- Knowledge or willingness to learn and assist in equipment maintenance and repair
- AZ Driver’s license
