Assistant Manager / Bookkeeper (Full-Time)

A fast-growing construction and remodeling company in Sherman Oaks is seeking a reliable and highly organized Assistant Manager / Bookkeeper to support daily office operations. This role plays a key part in helping the Office Manager and CEO maintain efficient workflows, accurate financials, and strong communication with customers, vendors, and internal teams.
Key Responsibilities
Administrative & Office Support
- Assist the Office Manager and CEO with daily operational tasks
- Provide clerical and administrative support as needed
- Organize and schedule meetings
- Handle customer inquiries and resolve concerns professionally
- Write and edit formal letters to clients and vendors
- Oversee general office needs and support office staff
Bookkeeping & Financial Tasks
- Manage Accounts Payable and Accounts Receivable
- Perform bookkeeping duties using QuickBooks (Required)
- Follow up on customer payments
- Issue payments to vendors
- Prepare and maintain financial reports
- Analyze and close project files
- Review, analyze, and pay bills
- Assist with contract and price negotiations with vendors and service providers
Required Skills & Qualifications
- QuickBooks proficiency is mandatory — do not apply without this experience
- High level of accuracy and attention to detail
- Strong written and verbal communication skills
- Excellent interpersonal abilities
- Proven office management, administrative, or assistant experience
- Proficient in Microsoft Office (Excel, Word, Outlook)
- Strong time management and organizational skills
- Ability to supervise and motivate a team of 5 staff members
- Ability to work effectively in a fast-paced, high-pressure environment
- Strong problem-solving abilities
- High School Diploma or GED required
- Knowledge of general business and management principles
- Good math and English skills
- Strong leadership skills with a proactive mindset
