Job Description

Hilo Benioff Medical Center, a member of Hawaiʻi Health Systems Corporation, is seeking a highly skilled and trusted Secretary IV to support the Medical Staff Services Department in a complex, fast-paced acute care environment. This position provides advanced secretarial, technical, and administrative support to Medical Directors, the Chief of Staff, and Medical Staff leadership, playing a key role in medical staff governance, credentialing support, and coordination across the East Hawaiʻi Region. The ideal candidate demonstrates exceptional professionalism, sound judgment, and the ability to manage highly confidential and sensitive information with absolute discretion.

Job Duties:

  • Provide advanced secretarial and administrative support, including preparing correspondence, reports, contracts, meeting agendas, and official committee minutes for Medical Staff and Medical Executive Committee meetings.
  • Coordinate and support Medical Staff meetings by scheduling sessions, arranging logistics, preparing and distributing materials, tracking action items, and following up on assigned tasks.
  • Maintain organized, accurate, and compliant medical staff records, rosters, calendars, and databases to support credentialing, privileging, and governance activities.
  • Serve as a primary point of contact for physicians, medical staff leaders, administrators, and internal departments, providing responsive, professional customer service and communication.
  • Handle highly confidential medical staff, peer review, quality, and governance information with strict confidentiality, discretion, and professionalism, including careful and objective minute-taking in accordance with hospital policy and applicable law.


Education:
Graduation from high school with courses in basic English and arithmetic may be substituted for the six (6) months of General Clerical Experience.

Experience: One half (1/2) year of general experience, progressively responsible typing, stenographic and/or substantive clerical work which duties demonstrated possession of, common office appliances and equipment and the ability to carry out procedures in clerical work systems and to perform secretarial tasks.

Specialized Experience: Four (4) years of specialized experience performing secretarial duties including, but not limited to the following: providing personal assistance to an administrator or executive by attending to the administrative details of an office; having an overall awareness of the activities and administrative framework of a program/organization; and ability to exercise sound judgment.

Substitution of Education for Experience:

1. Graduation from high school with courses in basic English and arithmetic may be substituted for the six (6) months of General Clerical Experience.

2. Successful completion of a substantially full-time equivalent clerical, stenographic or secretarial curriculum leading to a degree or diploma at an accredited community college, business or technical school which included courses in business English, arithmetic, office clerical procedures, and office machines will be deemed equivalent to one (1) year of Specialized Clerical Experience.

3. Partial completion of a substantially full-time equivalent clerical, stenographic or secretarial curriculum at an accredited community college, business or technical school which included courses in business English, arithmetic, office clerical procedures, and office machines will be substituted for the Specialized Clerical Experience on a month-for-month basis.

4. Education in an accredited university in a baccalaureate program may be substituted for the Specialized Clerical experience noted, on the basis of fifteen (15) semester hours for six (6) months of experience, up to a maximum of one (1) year provided it included at least two or more courses such as: human relations in business, business correspondence or communications, principles of management, personnel management relations, office management, business administration, etc.

  • Rates listed for paid holidays, vacation and sick days are for 1.0 Full Time Equivalent (FTE) positions assigned to 8 hour shifts. Accruals for these benefits are otherwise prorated based on FTE.

Pre-Employment Health Requirements

Offers of employment will be contingent on successfully passing a pre-employment examination, which includes a drug screen and other regulatory medical requirements such as, but not limited to, a tuberculosis (TB) screen. The cost for drug screening and blood draw for QuantiFERON and Titers, shall be borne by the Hawaii Health Systems Corporation.
