Position Summary
The Supply Chain Specialist plays a critical operational role within HeyTea's supply chain function, responsible for end-to-end order fulfillment, inventory accuracy, warehouse operations oversight, and international freight coordination. This role serves as the central connector between the order team, warehouse team, and logistics partners — ensuring that franchisee orders are delivered on time, in full, and in compliance with company standards. The ideal candidate brings hands-on experience in multi-location retail or food & beverage supply chain environments and demonstrates a high degree of ownership, analytical rigor, and cross-functional communication skills.
Key Responsibilities
1. End-to-End Order Fulfillment Management
- Manage the full lifecycle of franchisee orders, from domestic order placement through warehouse picking, packing, dispatch, and inland freight delivery.
- Proactively monitor order progress and shipment timelines; identify and resolve exceptions including late deliveries, stockouts, and cargo damage in a timely manner.
- Coordinate closely with the order management team and warehouse team to ensure accurate and on-time order fulfillment for all franchisee locations.
2. Inventory Control & Accuracy
- Maintain day-to-day inventory management to ensure system records are consistently aligned with physical stock levels.
- Process and track all inventory adjustments, including write-offs, shrinkage, and system corrections, following established SOPs and approval workflows.
- Conduct routine inventory reconciliations; update and verify inventory ledgers to prevent and detect discrepancies.
3. Expiration Date & Warehouse Standards Management
- Conduct regular store and warehouse inspections with a focus on product expiration date compliance; take prompt corrective action on near-expiry and expired items to minimize waste and loss.
- Monitor and enforce warehouse housekeeping standards, including proper product placement, storage condition adherence, and operational compliance.
4. International Ocean Freight Coordination
- Oversee the full overseas container shipping process, including booking freight, coordinating cargo loading, and managing documentation for inbound international shipments.
- Upon container arrival at port, coordinate with the warehouse team to complete receiving, unloading, counting, and system entry in a timely and accurate manner.
- Follow up on all post-arrival warehouse receiving tasks to ensure seamless inbound inventory landing.
5. Cross-Functional Coordination & Issue Resolution
- Act as the primary liaison across order management, warehousing, domestic logistics, and international freight functions.
- Establish a closed-loop issue tracking and escalation process; promptly communicate exceptions and drive resolution across stakeholder teams.
- Ensure overall supply chain operations — including inventory, orders, and logistics — run efficiently and with minimal disruption.
6. Data Analysis & Operational Reporting
- Prepare and analyze regular operational reports, including order fulfillment rates and third-party logistics (3PL) cost tracking.
- Identify operational inefficiencies and exceptions from data; develop actionable improvement recommendations and support implementation in collaboration with relevant teams.
Qualifications & Requirements
- Bachelor's degree or above required; preferably in Logistics Management, Supply Chain Management, Business Administration, or a related field.
- 1–3 years of hands-on experience in supply chain, warehousing, or operations roles, ideally within multi-location retail, new retail, or food & beverage / bubble tea industry environments.
- Experience managing franchisee or store-level supply chain operations strongly preferred.
- Proficiency with mainstream ERP, WMS (Warehouse Management System), or OMS (Order Management System) platforms.
- Advanced Microsoft Excel skills, including VLOOKUP, PivotTables, and data validation functions for operational data analysis.
