What are the responsibilities and job description for the Front Desk Receptionist position at Heroes Physical Therapy?
Front Desk Receptionist and Patient Accounts Coordinator
HEROES Physical Therapy is a small but mighty therapy clinic in Allegan, MI, and we’re looking for a Part Time Front Desk Receptionist and Patient Accounts Coordinator who wants to make a real difference in the lives of patients and families.
While we began as a pediatric-focused clinic, we now serve both children and adults with a wide range of orthopedic, neurologic, developmental, mobility, and rehabilitation needs. We believe in creating a space where every patient feels safe, supported, and empowered.
If you light up when you help patients and families navigate appointments, insurance, and care, or you enjoy being the friendly face that sets the tone for someone’s visit, you’ll fit right in here.
About Us
We’re a family-centered therapy practice dedicated to helping patients of all ages participate more fully in their everyday lives. From children building developmental skills to adults improving mobility and recovery, we celebrate every milestone along the way.
We take time with our patients, celebrate every little win, and deeply value kindness, collaboration, and treating each person who walks through our doors like they truly matter. We’re growing, and we’re looking for someone who wants to grow with us.
What You’ll Be Doing
This role is dynamic, hands-on, and incredibly rewarding. Your week may include things like:
- Greeting patients and families with warmth, creating a welcoming environment for children, adults, and caregivers.
- Scheduling, confirming, and managing therapy appointments while keeping therapist schedules organized.
- Verifying insurance coverage, obtaining authorizations, and clearly communicating benefits to patients and families.
- Collecting co-pays and balances, answering billing questions with empathy and professionalism.
- Maintaining accurate patient records and EMR documentation, keeping all information up to date.
- Assisting therapists with patient care and exercises when needed, ensuring a safe and positive experience for patients of all ages.
- Supporting daily clinic operations to keep patient flow smooth, the front desk organized, and the overall patient experience exceptional.
Who We’re Hoping to Find
We’re looking for someone who cares deeply about people and wants to be part of a supportive, collaborative team. You’ll be a great fit if you:
- Have 1-3 years of experience in a medical front office, healthcare billing, or therapy clinic environment (preferred).
- Are comfortable working with both children and adults and enjoy creating a welcoming, positive space.
- Communicate with patients and families in a warm, clear, and supportive way.
- Are organized, detail-oriented, and able to multitask in a busy clinic setting.
- Can maintain HIPAA compliance and handle sensitive information responsibly.
- Have proficiency in EMR systems, scheduling software, and standard office tools.
- Are excited about a part-time role with flexibility, and the potential to grow with the clinic.
What We Can Offer You
Working with us means joining a team that is committed to your growth just as much as the growth of the people we serve. You’ll find:
- Flexible part-time hours that support work-life balance.
- A supportive team ready to mentor and help you grow in your role.
- A warm, patient-focused environment where your efforts make a real difference.
- Space to bring your personality, creativity, and compassion to your work every day.
- The chance to build meaningful relationships with patients and families who truly value your support.
