Position Summary
We are seeking a detail-oriented Bookkeeper / Property Manager to own the day-to-day accounting and operations for a portfolio of residential and commercial property entities. This is a hybrid role: roughly 60% bookkeeping and financial administration, 40% hands-on property management. The right candidate is organized, self-directed, and comfortable owning a process end to end without daily supervision.
Key ResponsibilitiesBookkeeping & Accounting- Maintain complete and accurate books for multiple property-holding LLCs in DoorLoop and QuickBooks Online, including manual transaction posting, categorization, and reconciliation.
- Perform monthly bank, credit card, and intercompany reconciliations; escalate variances promptly.
- Process accounts payable — vendor invoices, utility bills, insurance, taxes, and mortgage payments — and maintain supporting documentation to internal SOP standards.
- Manage accounts receivable: rent posting, late fees, delinquency tracking, and tenant ledger accuracy.
- Maintain utility account documentation and transfer records across all entities.
- Produce monthly financial reporting packages by entity (P&L, balance sheet, rent roll, delinquency, cash position).
- Assist with year-end close, 1099 preparation, and CPA/tax document requests.
- Follow and improve existing accounting SOPs; document any new process you build.
- Serve as primary point of contact for tenants across the portfolio — inquiries, complaints, and service requests.
- Manage the full leasing cycle: marketing and showings, application screening, lease preparation and execution, move-in and move-out inspections, and security deposit accounting.
- Coordinate maintenance and turnover work with vendors and contractors; obtain quotes, issue work orders, verify completion, and approve invoices.
- Conduct periodic property inspections and maintain a running condition/capital needs list for each asset.
- Track lease expirations, renewals, and rent escalations; recommend rent adjustments based on market conditions.
- Manage delinquency workflow through notices and, where necessary, the eviction process in coordination with counsel.
- Maintain compliance with applicable landlord-tenant, fair housing, and local code requirements.
- Keep certificates of insurance, W-9s, and vendor records current.
