EXECUTIVE ASSISTANT – HERITAGE SCHOOL OF INTERIOR DESIGN

Seattle Campus | Part-Time (~25 Hours/Week)


ABOUT THE ROLE:

Heritage School of Interior Design is seeking a motivated, proactive Executive Assistant to support our Seattle Director and administrative team while helping create an exceptional student experience.

This is not a traditional administrative assistant role. We're looking for someone who takes initiative, anticipates needs, brings new ideas to the table, and actively contributes to the success and growth of the Seattle campus.


This role is ideal for someone seeking meaningful, flexible work while staying connected to the design industry. The ideal candidate is passionate about interior design, enjoys supporting others, and thrives in a hands-on, collaborative environment.

RESPONSIBILITIES


ADMINISTRATIVE SUPPORT

  • Manage scheduling and calendar coordination for the Seattle Director.
  • Support administrative needs for leadership, instructors, and students.
  • Maintain SharePoint, Moodle, and internal records.
  • Order supplies and assist with campus organization.


STUDENT RECRUITMENT & SUPPORT

  • Aid in student recruitment and retention efforts.
  • Communicate with prospective and current students via phone and email.
  • Support the director with coordinating admissions follow-up and enrollment communications.
  • Support students throughout their educational journey.


MARKETING, EVENTS & COMMUNITY ENGAGEMENT

  • Capture photo and video content for social media and marketing efforts.
  • Coordinate open houses, student events, field visits, and guest speaker panels.
  • Support email marketing and community outreach initiatives.
  • Build relationships with local industry professionals and partners.


QUALIFICATIONS


REQUIRED

  • 1-2 years of office or administrative experience
  • Excellent communication and organizational skills
  • Strong attention to detail
  • Ability to work independently and take initiative
  • Strong problem-solving and customer service skills


PREFERRED

  • Social media and content creation experience
  • CRM experience
  • Experience with Google Workspace, SharePoint, Moodle, or Excel
  • Canva, Adobe Creative Suite, or similar design tools
  • Design, photography, or creative industry background
  • AutoCAD and SketchUp experience is a plus


WORK LOCATION & COMPENSATION 


Location: Seattle Design Center

5701 6th Ave S, Seattle, WA 98108

Pay: Starting at $25/hour, based on experience

Schedule: Typically Monday-Thursday, 10:00 AM-4:00 PM, with occasional evenings, Fridays, Saturdays, and local travel for events.
