What are the responsibilities and job description for the Billing Coordinator position at Herbert Smith Freehills Kramer?
Responsible for managing the firm’s billing process, ensuring accurate and timely preparation of client invoices while supporting WIP management and revenue cycle processes across the US region as well as supporting attorneys and clients with billing inquiries, special requests and projects. This role requires strong attention to detail, experience in law firm billing and e-billing programs and excellent communication skills.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Works closely with the Billing Partners, Billing Team in the preparation of client billing
- Reviews time entries to ensure proper matter coding, billing rates, compliance with client guidelines and/or e-billing guidelines and missing time
- Prepare, review and process client invoices, including narrative description bills, transfers, adjustments as approved
- Coordinate with billing attorneys to finalize and submit invoices
- Responsible for tracking billing attorney's completion and unbilled inventory (WIP)
- Responds to Partner billing-related inquiries accurately and timely, responds to client inquiries and maintains a high-standard level of accuracy in preparing and reviewing billing analysis and research.
- Manages the billing cycle for selected group of billing attorneys ensuring that the client bills are processed timely
- Perform daily activities of the billing function in support of Partners and Clients, including but not limited to proforma generation and edits and report generation
- Monitor the status of proformas; identify issues and work with billing attorneys to resolve aged unbilled and other billing issues
- Respond to billing inquiries and requests from attorneys, collection team and Management team

EDUCATION AND/OR EXPERIENCE:
- 2 years’ experience in legal billing
- Knowledge of Elite 3E, Aderant, Microsoft Excel and Word
- Experience with various e-billing vendors and requirements
- Excellent verbal, written and interpersonal skills needed to communicate clearly and concisely with Attorneys, Senior Management and clients
- Strong analytical skills
