- Welcome visitors, vendors, and drivers in a friendly and professional manner
- Ensure visitors sign in correctly, receive visitor badges, and follow facility procedures
- Answer incoming phone calls, route calls appropriately, and take clear messages
- Escort visitors or service providers when required
- Help coordinate meetings, calls, vendor visits, and deliveries
- Communicate scheduling expectations clearly to avoid conflicts
- Monitor company holiday schedules and assist with delivery coordination
- Scan, organize, and file documents
- Check paperwork for completeness and notify team if corrections are needed
- Help maintain organized electronic and paper filing systems
- Assist with preparing, scanning, and sending routine reports and documentation
- Keep internal records organized for easy retrieval
- Sort and distribute mail and route vendor materials to the correct departments
- Monitor office supply levels and help request reorders as needed
- Post internal announcements and notices
- Provide general clerical and administrative support to the team
- High School Diploma or GED
- Basic computer skills (email, scanning, file organization)
- Strong organizational skills and attention to detail
- Clear communication skills, both verbal and written
- Ability to follow instructions, procedures, and documentation guidelines
- Prior office, receptionist, or administrative experience is helpful but not required
- Experience in a manufacturing or regulated environment is a plus, but not required
- Friendly, professional, and welcoming demeanor
