Overview
A well- established HVAC, Roofing, and Plumbing contractor company is looking to add a Service Department Support Specialist to a growing Commercial/Residential Service Department. Reporting to the Service Manager, the Service Department Administrative Specialist must be able to help support all aspects of the service department.
Major Responsibilities:
Manages, organizes, and files warranty claims for customers, ensures that claims are paid for all warranties, and maintains warranty log
Registers new equipment and part warranties
Manages commercial/residential parts ordering and inventory
Back up for dispatching technicians
Answers phones for service department
Invoicing for commercial and residential service and plumbing
Price and invoice commercial service tickets and prepaid maintenance tickets
Purchasing of equipment, parts, and other materials and supplies. Support Service Manager and Dispatch Coordinator in other daily tasks.
A/R collection duties and collection calls with customers for service department
Perform other administrative support services as needed across service department
Skills:
Must be a team player. Strong interpersonal, problem-solving, and effective communication skills are also required with a desire and ability to work and communicate as a team across all departments.
Must have excellent communication skills as this position entails having communications with Vendors, Suppliers, Project Managers, and customers
Must be highly organized, able to prioritize, set and keep deadlines, change direction quickly, and adapt to various work environments easily.
Ability to work in a fast-paced environment while maintaining a high degree of accuracy.
Experience using Microsoft applications as well as Adobe Acrobat.
Be able to handle multiple priorities, meet deadlines, and have great follow-up skills.
Possess the ability to work independently and in a team environment
Computer Skills:
Microsoft Office Suite (Excel, Outlook, Word)
Education:
High School or equivalent required
College Degree, Bachelor or Associate’s preferred
