GENERAL SUMMARY:
The Central Schedule Coordinator functions as a critical access point within the specialty, operating as an “air traffic controller” to coordinate and align physician, advanced practice provider, equipment, and all scheduled clinical resources to meet patient demand efficiently and safely.
Under general supervision, this role is responsible for proactively managing, monitoring, and reporting on both inpatient and outpatient availability across all sites within the assigned specialty. The coordinator serves as a centralized resource for patients, referring providers, and internal teams to facilitate timely and appropriate scheduling.
This position ensures standardized scheduling practices, consistent protocols, and accurate master schedules across the specialty. Responsibilities include tracking provider clinic time, managing schedule changes or closures, and generating reports to support operational efficiency and patient access.
ESSENTIAL DUTIES:
- Coordinates scheduling across physicians, advanced practice providers, and clinical resources to optimize patient access.
- Serves as a centralized scheduling resource for referring providers, patients, and internal departments.
- Maintains and ensures accuracy of master schedules across all sites of practice.
- Monitors provider availability, including clinic time, time off, and schedule modifications.
- Facilitates schedule adjustments, urgent add-ons, and complex case coordination.
- Ensures adherence to standardized scheduling protocols and procedures.
- Prepares and analyzes scheduling and access-related reports.
- Collaborates with clinical and administrative teams to improve scheduling workflows and patient throughput.
SPECIALTY FOCUS (Cardiac Electrophysiology Scheduling):
- Coordinates complex, time-sensitive procedures across multiple teams and departments.
- Manages high-volume procedural schedules with frequent changes and urgent add-ons.
- Ensures all pre-procedure requirements, documentation, and authorizations are completed accurately.
- Works closely with physicians and clinical teams to support efficient procedural flow.
- Utilizes EMR systems (Epic preferred, Cupid module highly desirable) to maintain scheduling accuracy and efficiency.
EDUCATION/EXPERIENCE REQUIRED:
- High School Diploma or equivalent required.
- Associate’s Degree preferred.
- One (1) to two (2) years of experience in a business office or healthcare environment required.
- Experience with appointment scheduling and schedule maintenance required.
- Analytical skills with the ability to manage and coordinate provider schedules preferred.
- Familiarity with PC and mainframe computer systems preferred.
ADDITIONAL PREFERRED QUALIFICATIONS:
- Prior healthcare scheduling experience, preferably in cardiology, electrophysiology (EP), cath lab, surgical, or procedural environments.
- Experience working directly with physicians and clinical teams.
- Proficiency with Epic EMR (Cupid module preferred) or similar systems.
- Strong attention to detail and organizational skills.
- Ability to prioritize and adapt in a fast-paced, high-acuity environment.
- Excellent communication and problem-solving skills.
