Perform specialized clerical work requiring the application of basic bookkeeping principles and practices in the maintenance of school financial records.
Essential Duties:
- Accurately maintain all school financial records, including generalized and specialized accounts.
- Prepare and submit monthly bank reconciliations to supervisor.
- Train school account managers/school personnel on school activity fund accounting policies and procedures and assist with general budget information.
- Ensure established procedures are followed for collecting, receipting and depositing funds within established timeframes.
- Process financial information (e.g. purchase orders, accounts payable, check and deposit register, ledger, annual reports, memos, correspondences, etc.) to ensure proper and complete accountability of school, state and/or federal funds.
- Compute and verify bills for service, invoices, purchase orders and/or other data for accurate recording and processing; process all accounts receivable and payable; receive, record and deposit cash receipts, disburse and mail checks, balance accounts, reconcile vendor statements, and perform other general bookkeeping duties as required and according to policy DJE.
- Perform computer data entry to record, update, and retrieve department information and to prepare spreadsheets, reports, and correspondence.
- Perform year-opening and year-end-closing procedures.
- Maintain records of students’ school debts and obligations.
- Assist Principal with use of budgeted funds by reconciling available budgets and preparing and submitting invoices to the District Office for payment.
- Ensure school compliance with HCS Financial Procedures Manual, including preparing, analyzing, and reconciling financial accounting reports and data for the review of District administration and state and federal agencies.
- Maintain HCS prescribed accounting and internal control procedures over school activity funds.
- Provide information and assistance to internal and external auditors upon request.
- Enter and maintain staff leave, as required.
- Perform Title I am bookkeeping responsibilities if applicable.
- Provide exceptional customer service on a daily basis and maintain professional practices.
- Perform other duties and responsibilities as assigned.
Qualifications:
- Minimum of a High School Diploma or state-approved High School Equivalency (HSE), required.
- One to two years of bookkeeping experience, or an equivalent combination of education, training and experience that provides the required knowledge, skills and abilities required.

- Ability to abide by the Georgia Professional Standards Code of Ethics for Educators.
- Must be regularly, predictably, and reliably at work.
- Ability to be present at the physical worksite.
- Must perform tasks involving prolonged periods of standing, walking, and sitting.
- Must perform routine physical activities such as bending and lifting/pushing/pulling up to 50 pounds.
- Must be able to properly and consistently supervise students, particularly during emergency situations.
- Vision, hearing, written, and verbal communications are essential factors in performing required tasks.
