Job Summary
We are seeking a professional and organized Receptionist/Administrative Assistant to join our team. Responsibilities
- Greet visitors and clients at the front desk with professionalism and courtesy
- Manage multi-line phone systems, screen calls, and direct inquiries appropriately
- Schedule appointments and manage calendar for staff and executives
- Perform data entry, filing, and maintain accurate records using Microsoft Office and Google Workspace
- Handle correspondence via email, mail, and other communication channels
- Assist with bookkeeping tasks using QuickBooks or similar accounting software
- Support office management duties including supply ordering and inventory tracking
- Proofread documents for accuracy and clarity before distribution
- Provide customer support by addressing inquiries promptly and professionally
- Maintain a clean and organized reception area to ensure a welcoming environment
Requirements
- Proven experience in office administration or clerical roles; prior receptionist experience preferred
- Strong computer skills with proficiency in Microsoft Office, Google Workspace, and data entry software
- Excellent organizational skills with the ability to prioritize tasks effectively
- Exceptional phone etiquette and customer service skills
- Ability to handle multiple responsibilities simultaneously with efficiency
- Bilingual proficiency is desirable but not required
- Experience with QuickBooks, calendar management, proofreading, and bookkeeping is advantageous
- Knowledge of office management procedures and administrative best practices
- High level of professionalism, reliability, and attention to detail
