Overview
The Pre-Admission Clerk shall possess, at a minimum, a high school diploma or its equivalent. He/she must have basic reception skills, electronic entry capabilities, minimum typing skills of 45 words per minute, and good organizational abilities. He/she must be proficient in the use of Microsoft Office Word and Excel. He/she shall be capable of conducting web-based searches and utilizing web-based documents. The Pre-Admission Clerk shall promote an atmosphere that is conducive to a professional, clinical business operation.
Duties General Office
- · Answer telephone calls utilizing HHI scripted greeting.
- · Greet telephone customers with an attitude that promotes welcoming.
- · Legibly document using language meeting professional standards, abbreviations per HHI approved listings, and error correction processes, as applicable, per policy.
- · Ensure external documentation is prepared on HHI-issued letterhead or clinical document.
- · Ensure timely submission of documents for interoffice mail distribution.
- Pre-Intake
- · Denote client-identified needs/problems, payor source, and preferred geographic location.
- · Explain to candidates fees, payments accepted, and offer assistance to obtain sliding fee specific to each clinic.
- · Check for client in EHR for prior service activity at HHI.
- · Enter pre-intake information into appropriate EHR screen via call intake process.
- · Enter payment/insurance information into EHR IBR screen.
- · Contact payor source as needed for verification, authorization, etc.
- · Schedule initial intake appointment based on the candidate’s expressed need, clinician specialty area(s) and appointment availability, and enter into the clinic’s EHR.
- · Confirm all insurance eligibility/ineligibility information through current web-based sources.
- · Check MHWIN system to determine if client is existing CMH consumer.
- · During same shift as call received, prepare pre-intake packet that includes insurance eligibility/ineligibility, payor authorization (if received), MHWIN confirmation or CareLink ID as appropriate, appointment date, and assigned therapist and send interoffice to assigned clinic office manager.
- · Notify office manager promptly when appointments available appear to be insufficient for scheduling anticipated new client requests.
- · Print list of pre-intakes scheduled at the end of each business day and forward to Pre-Admission Lead the following business day.
Qualifications
- Prior experience in medical office administration or clinic support roles is highly preferred; dental office experience is a plus.
- Familiarity with EMR/EHR systems such as Epic, Meditech, Athenahealth, or eClinicalWorks is essential.
- Knowledge of medical terminology, CPT coding, ICD-9/ICD-10 coding, and medical billing processes.
- Strong computer skills including proficiency in Microsoft Office Suite (Word, Excel) and multi-line phone systems.
- Excellent customer service skills with the ability to communicate effectively via phone etiquette and maintain professionalism under pressure.
- Bilingual abilities are desirable to serve diverse patient populations effectively.
- Demonstrated understanding of health insurance verification procedures and clinical confidentiality policies.
- Organizational skills with attention to detail in documentation review and data management; typing speed of at least 10 key strokes per second preferred.
CONTINUING EDUCATION TRAINING REQUIREMENTS
- · Provide results of annual TB test and health status confirmation statement.
- · Complete Semi-Annual Critical Training Update.
- · Complete a minimum of 12 hours of documented, annual training/ continuing education that is pertinent to the duties of the Pre-Admission Clerk.
- Adhere to all HHI policies and procedures (e.g., Clinical, Personnel, Infection Control, Safety/Environment, etc.)
