What are the responsibilities and job description for the Scheduler position at Heartland PCA LLC?
We're seeking a part-time reliable scheduler at our Sandstone, MN branch. This position requires strong organizational skills, confident communication, and a warm, service-oriented approach. The Scheduler also supports client needs by scheduling appointments, answering incoming calls, and helping create efficient solutions to daily challenges.
PART-TIME: 16 - 24 hours per week
KEY RESPONSIBILITIES
Scheduling & Coordination
- Build, update, and manage schedules
- Prioritize and resolve schedule changes quickly
- Maintain clear and accurate records within the scheduling platform
Communication & Customer Service
- Answer phone calls with professionalism, warmth, and a customer-focused mindset.
- Demonstrate strong written & verbal communication both in person and over the phone.
- Support a positive experience for all clients, caregivers, and partners, representing Heartland CHC with enthusiasm and compassion.
Problem-Solving & Administrative Support
- Identify & create effective, innovative solutions to scheduling challenges.
- Track & report open shifts, available hours, and areas needing additional staffing support.
QUALIFICATIONS
Required
- Ability to manage and prioritize multiple tasks, interruptions, and issues throughout the day.

- Proficiency with Microsoft Office Suite, including Word and Excel.
- Strong written and verbal communication skills.
- Ability to think quickly, stay organized, and find solutions under pressure.
