What are the responsibilities and job description for the Health Law Paralegal and Operations Manager position at HealthWise Legal, APC?
The Role
You will work in close partnership with the firm’s founder and principal attorney. In your first months, you’ll learn the firm’s standards, methods and expectations and then you’ll take the reins on day-to-day operations, moving matters forward and keeping the firm running. This is a role for someone who wants to lead, not just execute: someone who is ready to be trusted with real decisions, to be the go-to person for daily matters and eventually bring new team members up to the standards you have mastered.
Your week will move between client engagement, legal work and firm operations.
Please do not apply to this position if you are a law school graduate waiting to pass the bar. This is not a paralegal to associate attorney track. We are looking for a long term paralegal.
What You’ll Own
Client engagement and intake
You’re the first voice prospective clients hear when they call the firm. You qualify the matter against our practice areas, whether the client sounds like a good fit for the firm, communicate what we do and ensure the right leads book a consult. For active clients, you’re a daily point of contact for status updates, document requests, and follow-up.
Legal support
You draft first versions of routine client correspondence, agreements, and policies and procedures for attorney review. You support regulatory matters by gathering records, organizing exhibits, and tracking deadlines. You conduct legal research on assigned questions and draft summaries with primary sources cited. You draft blog posts and LinkedIn posts highlighting legal news, firm matters and important updates.
Firm operations
You organize client files, emails and the firm’s client management systems. You help build the firm’s operations, templates and bring solutions to the table when you see current systems that aren’t working.

Experience
- At least 5 years of paralegal experience with substantive work in contracts, regulatory compliance and transactions, preferably in health law
- Direct experience supporting Medicare/Medicaid audits, ADRs, or appeals
- Experience incorporating entities and drafting corporate documentation
- Prior customer service experience in a professional setting
- Prior experience using Clio Manage; Clio Grow strongly preferred
- Comfortable in Google Workspace, Microsoft Word, Adobe Acrobat, and AI-assisted legal research tools
