Responsibilities
- Greet visitors warmly, verify appointments, and direct them appropriately
- Manage multi-line phone systems with professionalism, practicing excellent phone etiquette
- Handle incoming calls, screen inquiries, and route calls efficiently to the relevant departments or personnel
- Maintain organized filing systems, data entry records, and manage office supplies inventory
- Schedule appointments, coordinate calendar management, and assist with basic office management tasks
- Support administrative duties such as proofreading documents, managing correspondence, and updating records using Microsoft Office and Google Workspace tools
- Assist with bookkeeping tasks using QuickBooks or similar accounting software when needed
- Provide customer support by addressing inquiries promptly and professionally in person or via phone/email
Experience
- Previous office experience or clerical experience demonstrating strong organizational skills
- Proven ability to operate multi-line phone systems effectively and maintain professional phone etiquette
- Familiarity with office management software such as Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace (Gmail, Calendar)
- Experience with data entry, filing systems, proofreading documents, and basic bookkeeping is preferred
- Bilingual abilities are a plus to serve diverse client needs effectively
- Knowledge of medical or dental receptionist duties is advantageous but not required
- Personal assistant experience or calendar management skills will be highly valued
- Demonstrated ability to prioritize tasks efficiently with excellent time management skills
