As a member of HealthierHere’s Finance team, the role of the Payroll Accountant includes acting as the primary resource for HealthierHere on payroll and accounting matters. The ideal candidate possesses a strong understanding of Federal, Washington State, and Local Ordinance laws pertaining to labor, payroll taxes, benefits, and is responsible for payroll , benefits deduction, employer benefit rate contributions, and benefits invoices, working closely with the Finance Manager, Chief Finance and Operations Officer, and Finance team to ensure compliance to company policy and mandated laws. This position requires a high level of accuracy, exceptional attention to details, as well as the ability to be professional, ethical and maintain confidentiality in all business practices.
The Payroll Accountant’s workload will be detail-oriented, subject to multiple competing deadlines, and the ability to work independently. As a result, the ability to prioritize, organize and regularly communicate task status to the Chief Finance and Operations Officer is fundamental to the role. The role will be responsible for the regular aggregation of financial information and data for use in presentations by the Chief Finance and Operations Officer.

Schedule and Worksite
This position works full-time Monday – Friday during standard business hours. HealthierHere is currently performing a hybrid approach with two required days in our Downtown Seattle.
Major Responsibilities
Payroll Processing and Accounting
- Support the transition of payroll processing performed by a third-party, to in-house processing
- Develop and formalize payroll processing processes, procedures, and associated controls
- Responsible for semi-monthly payroll processing and journal entry creation; ensure payroll transactions are processed correctly for time, earnings, bonuses, paid time off, deductions, taxes, garnishments, and other items that affect pay and company liability.
- Ensure each pay cycle and month-end close processes are processed accurately and on time.
- Partner effectively with the Chief Finance and Operations Officer, the Finance Manager, and other cross-functional teams such as People & Culture, Accounting and Finance, to record and process any needed changes to each pay cycle.
- Process associated payroll taxes and payment of employee benefits, including all payroll and benefits invoice reconciliations; review and verify quarterly and annual tax reconciliation reports including annual ACA reporting for payroll related items, and the monthly audits in Paycom to ensure timeline and accurate reporting.
- Provide knowledge to remain compliant on federal, state or local changes impacting taxes, deductions, benefits deductions, or pay and ensure adherence to legal requirements; advise management.
- Help develop scalable processes, policies and compliances across our payroll, timekeeping and benefit invoicing practices; accounting to develop proper internal control policies, procedures and documentation for compliance.
- Review and audit employee 403(b) contributions as well as make contribution deposits to 3rd party 403(b) Analysts in a timely manner, assist with annual financial and 403(b) audit.
- Research, test and resolve payroll tax issues from the IRS, state or local tax jurisdictions; register new local and state tax as needed.
- Ensure timely and accurate W-2 preparations at end of year and review submission of wage data to state and local governments.
- Maintain strict confidentiality over employee data and information, ensuring full compliance with data protection laws.
Support of Paycom and Payroll Processes
- Support in the setting up and initiation of the payroll processes within Paycom.
- Identification and monitoring of associated Paycom payroll, and benefits invoices and deductions processes and procedures.
Qualifications
Minimum Qualifications
- 3 years of experience administering payroll, and payroll systems.
- Knowledge of payroll, and processes including Federal and multi-state tax regulations.
- 3 years of payroll software experience, preferably Paycom system.
- Detail-orientated with a passion for quality control and accuracy.
- Ability to think and plan ahead and anticipate problems, issues and provide solutions while managing hard deadlines.
- Effective customer service skills; able to break down complex processes into simple steps for users.
- Demonstrated ability to handle confidential and sensitive information.
- Familiarity with, local, state, and federal payroll regulations.
- Successful experience interfacing with Finance department.
- Experience with managing benefit broker and provider contracts and plan renewals.
