Summary
We are seeking a Dental Support Specialist to join our team at Health Partnership Clinic. This role coordinates patient care, manages scheduling and treatment plans, assists with front office functions, and provides limited clinical assistance as directed. The Dental Support Specialist is a key member of the care team, bridging communication among patients, providers, and support departments to promote continuity of care and an exceptional patient experience.
Responsibilities
- Greet, register, and assist patients in resolving questions or concerns with empathy and professionalism.
- Manages daily schedules to achieve optimum utilization, reduce wait time, and decrease no shows.
- Coordinate care by scheduling appointments, tracking recalls, and ensuring patients are connected to appropriate community resources or specialists.
- Educate patients on dental treatment plans and financial responsibilities, including insurance benefits and sliding fee scale options.
- Monitor and follow up with patients to support treatment plan adherence and improve care outcomes.
- Help patients access external assistance programs (e.g., Medicaid, KanCare).
- Maintain patient confidentiality and comply with HIPAA standards.
- Answer incoming calls, schedule/reschedule appointments, and monitor incoming messages via text/portal.
- Verify insurance eligibility, process pre-authorizations, and scan/update required documentation in the EHR.
- Present and review dental treatment plans and estimated costs with patients.
- Track dental lab cases and coordinate with dental providers on timelines and delivery.
- Enter and maintain accurate patient records in the Electronic Health Record (EHR).
- Assist with billing-coding related questions.
- Collaborate with the billing and patient services team to ensure accurate account balances and insurance coordination.
- Participate in daily huddles and quality improvement initiatives.
- Coordinate referrals with internal and external providers.
- Maintain positive working relationships with community organizations and referring agencies.
- Represent the dental department in community events and outreach activities.
Requirements
- High school diploma or GED required.
- Minimum of 1 year of work experience in customer service, dental, healthcare, or community health settings preferred.
- Language proficiency in Spanish preferred.
TYPICAL PHYSICAL DEMANDS
- Prolonged periods of sitting, standing, or walking may be required.
- Must be able to lift up to 25 pounds.
- Regular use of phones, computers, copiers, and other office equipment.
- Exposure to clinical settings, including potential exposure to communicable diseases, body fluids, and other typical clinical hazards.
