Job Overview
We are seeking a dedicated and highly organized Administrative Assistant to support our team and ensure the smooth operation of daily office functions. The ideal candidate will possess excellent communication skills, Credentialing knowledge, excellent computer skills, strong organizational abilities, and proficiency with various office management tools. This role offers an opportunity to contribute to a professional environment where attention to detail and customer service are paramount. The Administrative Assistant will serve as the first point of contact for visitors and callers, manage administrative tasks efficiently, and support various departments with clerical duties.

Duties

  • Greet visitors and answer multi-line phone systems with professionalism and courtesy, providing exceptional customer support.
  • Manage credentialing process guide by GM.
  • Perform data entry, filing, and document proofreading to ensure accuracy and organization of records.
  • Utilize Microsoft Office Suite and Google Workspace applications for report preparation, correspondence, and presentations.
  • Coordinate calendar management and schedule meetings for staff members, ensuring optimal time management.
  • Assist with bookkeeping tasks using QuickBooks or similar accounting software to support financial record-keeping.
  • Support office management activities such as supply ordering, maintaining office equipment, and organizing files.
  • Provide personal assistant support when needed, including task prioritization and administrative errands.

Requirements

  • Proven experience in an office environment with clerical or administrative responsibilities.
  • Strong computer literacy with proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and data entry skills.
  • Excellent organizational skills with the ability to multitask efficiently in a fast-paced setting.
  • Effective phone etiquette skills and experience managing multi-line phone systems.
  • Bilingual abilities are highly desirable to serve diverse client needs effectively.
  • Prior experience as a receptionist, medical or dental receptionist, or personal assistant is advantageous.
  • Knowledge of bookkeeping software such as QuickBooks is preferred but not mandatory.
