What are the responsibilities and job description for the Senior Accountant position at Headies Worldwide?
About Headies World Wide:
We're a close-knit team that values ownership, accuracy, and doing things the right way. We are a licensed cannabis processor located in Lake Stevens that is known for a wide range of award-winning cannabis products.
We're looking for a Senior Accountant to own our day-to-day accounting and run our core HR and people operations. You'll be our in-house expert on the numbers. That means keeping the books accurate, closing the month on time, running payroll, managing inventory costing, and turning financial results into clear insights that leadership can act on.
You'll also be the go-to person for our employees, from a new hire's first day through their pay, benefits, and retirement questions. This is a broad, high-visibility role. It suits someone who likes variety, works independently, and wants to see the direct impact of their work on the business.
What You'll Do:
Accounting Operations
- Own accounts receivable: import customer invoices, process daily checks and deposits, and apply payments accurately.
- Own accounts payable: enter vendor invoices and schedule ACH payment runs.
- Complete monthly bank and credit card reconciliations.
Inventory & Cost Accounting
- Maintain accurate inventory records and calculate cost of goods sold.
- Post cycle count adjustments.
- Identify trends in shrinkage, margin, and cost that affect profitability.
Financial Reporting & Analysis
- Prepare the monthly P&L, balance sheet, and supporting schedules.
- Build and maintain cash flow reports and short-term cash forecasts.
- Analyze results against prior periods and budget, then share clear insights and recommendations with leadership.
Payroll:
- Process payroll accurately and on schedule, and import payroll journals into QuickBooks.
- Administer wage garnishments, deductions, and pay changes.
- Support payroll tax filings and year-end W-2 reporting with our payroll provider.
HR: Onboarding
- Lead onboarding so new hires feel welcome and are productive from day one.
- Prepare and collect new-hire documentation (offer letters, I-9, W-4, state forms, direct deposit, policy acknowledgments).
- Set up new employees in payroll and benefits systems, and coordinate orientation with hiring managers.
- Maintain organized, confidential personnel files.
HR: Compensation & Benefits:
- Administer employee compensation, including pay changes, bonuses, and adjustments.
- Manage benefit enrollments, changes, qualifying life events, and terminations (including COBRA).
- Administer the 401(k) plan: enrollments, contribution remittances, and coordination with the plan provider.
- Lead annual open enrollment and serve as the main contact for employee pay and benefits questions.
- Reconcile benefits invoices to payroll deductions and help keep us compliant with wage, hour, and benefits regulations.
Beyond the Job Description:
The responsibilities above describe the core of this role, but they aren't the limits of it. At Headies World Wide, we firmly believe that “that's not part of my job description” shouldn't be part of anyone's vocabulary in our organization. We're a team that pitches in wherever we're needed. We're looking for someone who sees what needs to get done and jumps in to help, whether that means supporting a coworker on a deadline, taking on a new project, or rolling up their sleeves on something outside their usual work.
What You Bring
Required:
- Bachelor's degree in accounting or finance, or equivalent experience.
- 4 years of progressive accounting experience, ideally in a small or mid-sized business.
- Hands-on experience with QuickBooks (Online or Desktop).
- Advanced Excel skills (pivot tables, XLOOKUP/VLOOKUP, reconciliations, building reports).
- Experience processing payroll, including garnishments.
- Solid understanding of GAAP, month-end close, and account reconciliations.
- Discretion and sound judgment with confidential financial and employee information.
Nice to Have
- Experience with inventory accounting and COGS in a product-based business.
- Benefits administration or HR generalist experience.
- Familiarity with Paragon and Gusto payroll platform.
You'll Do Well Here If You
- Are highly organized and keep track of many deadlines without dropping details.
- Take ownership and work well independently.
- Can explain financial information clearly to people who aren't accountants.
- Like improving processes and finding ways to work smarter.
