Head Injury Association has an exciting and unique administrative assistant position for a professional with excellent writing and communication competency who is interested in learning new skills and tasks necessary to support our Traumatic Brain Injury (TBI) and Nursing Home Transition Diversion (NHTD) Wavier Programs funded through the NYS Department of Health (DOH). We are willing to train someone eager to learn new systems and protocols specific to the program. In addition to supporting the program administratively, the DOH Administrative Assistant must be capable of taking the initiative to oversee, monitor, and track several vital functions of the program, such as housing paperwork, incidents, UAS evaluations, and transportation—this unique entry-level position which will provide you with experience and skills beyond typical administrative assistant responsibilities to expand your career.
- Provide administrative support to the Sr. Director of DOH Waiver Services and Department of Health (DOH) programs as requested by Sr. Director.
- Order and maintain all supplies for office equipment and supplies for the DOH programs.
- Oversee and facilitate Medicaid Transportation services for the Structured Day Program (SDP) and the SC program as needed.
- Track annual UAS evaluations, schedule appointments and send paperwork to the Regional Office.
- Answer phones and direct calls appropriately, open and distribute mail, and schedule and maintain appointments.
- Prepare and distribute minutes of various meetings.
- Oversee the DOH Housing Subsidy process for HIA. Track and review for accuracy all DOH Housing Paperwork submissions annually and when there are new individuals to the program, lease renewals or relocations.
- Provide administrative support as needed to cover other positions within the agency.
- Organize and prepare SDP program binders and records. This may entail traveling to offsite occasionally to locations to maintain the charts. Upload documents for the DOH programs. Request updated or missing information from other providers. As needed, archive “inactive” case files for the DOH programs.
- Track Serious Reportable Incidents (SRIs) from submission to closure. Follow up with staff for missing information or late reports. Be the liaison between HIA’s agency Incident Review Committee and the Service Coordinator Department. Be the liaison between HIA and the Regional Office for all SRIs.
