Why we open this position?
Our Production Department is looking for a dynamic coordinator to support our global operations in HBS’ office in Miami. You'll be working behind the scenes of some of the world's biggest sporting events, ensuring smooth operations from planning to execution, with a special focus on the HBS projects in the Americas. The main projects you will work in are the Tennis US Open and the different CONCACAF events, but the scope can extend to other tournaments and bids HBS may be involved in.
🤝 Your responsibilities
Production Support & Organization
- Coordinate various production activities across multiple projects
- Organize and maintain project documentation and briefings
- Support workflow development and organizational structures
Team & Event Coordination
- Schedule and coordinate staff for events
- Organize pre-event briefings and documentation
- Liaise with all HBS departments and sub-contractors
Administrative Excellence
- Assist with budget tracking and cost control
- Process purchase orders and invoices Maintain
- update production documentation
Is it really for me?
- Have experience as Production Coordinator/Assistant (preferably in sports)
- Be fluent in English with strong MS Office skills
- Be willing to travel for long-term assignments
Professional Background
- Production coordination experience
- Sports/tournament experience is a plus
- Understanding of production documentation (running orders, cue sheets, call sheets)
Technical Skills
- Advanced Microsoft Office skills (especially Excel and PowerPoint)
- Experience with production-related paperwork
- Ability to handle multiple project management tools
Personal Qualities
- Strong organizational and multitasking abilities
- Excellent attention to detail
- Great communication and interpersonal skills
- Adaptable and open to evolving procedures
- Comfortable with hybrid working (min. 3 days office-based) Willing to travel for extended periods
