Our client is seeking a Project Coordinator in Vienna, VA.
Role Description
• We are seeking a high-performing, self-driven professional who can quickly deliver impact and operate with minimal oversight.
• The ideal candidate brings strong project management experience, excels in written and verbal communication, and demonstrates exceptional attention to detail while managing multiple priorities in a fast-paced environment.
• This role requires proficiency in Microsoft Office tools and the ability to develop clear, effective technical and instructional documentation, including process maps and RFP requirement playbooks.
• Success in this position also depends on strong collaboration and facilitation skills, with experience coordinating and leading executive meetings, stakeholder engagements, SME discussions, and lead stakeholders' vendor requirement sessions.
• This position follows a hybrid model, with an expectation to be onsite three days per week at our Vienna location.
• To organize, facilitate, and coordinate project initiatives from inception through implementation, under the direction, guidance, and mentorship of Project/Program Manager or management. Provide life cycle, day-to-day support to multiple projects and programs of medium to large scope and impact. Demonstrate working knowledge of the business unit's activities, processes, products or services. Monitor project/program to ensure adherence to respective methodology.
• Maintain effective relationships with internal business partners. Produce reports for management and make presentations on project/program progress. Perform moderately complex/varied tasks with moderate latitude.

• Monitor and maintain project/program schedule, documentation, progress and change requests and provide weekly status updates
• Conduct project audits and review changes to project staffing, scheduling, or resources
• Run meetings that address a portion of a project
Communicate audit results and provide recommendations to Project Manager and/or management
• Escalate project issues to Project Manager and/or management for resolution
Identify and track cross project dependencies and impacts; communicate issues and provide solutions
• Organize and attend meetings and distribute minutes to project team members
• Collaborate with various levels of staff to accomplish tasks/assignments
Identify and recommend process improvements to Project Manager, team, and/or management
Skills & Requirements
• 10 years experience Project coordination & lifecycle management (supporting initiatives from intake through execution, tracking timelines, risks, and deliverables)
Strong stakeholder coordination & cross-functional collaboration (working across teams, SMEs, vendors, and leadership)
• Advanced organizational, planning, and time management skills (managing multiple workstreams with high accuracy)
• Excellent written and verbal communication skills (status updates, documentation, executive-facing materials)
• Meeting facilitation & stakeholder engagement (leading project meetings, SME sessions, and executive discussions)
• Process documentation & technical writing (process maps, playbooks, project plans, and reporting)
• Familiarity with project/program management processes and methodologies
Experience in working and participating in cross-functional, multi-dimensional teams and projects
• Exposure to principles, practices and activities related to process mapping
• Ability to handle multiple tasks simultaneously with a high degree of accuracy
• Ability to work independently and in a team environment
• Experience in working with diverse internal and external contacts
• Ability to compile, organize and present information clearly and concisely
• Advanced in the use of PCs and related software packages
• Effective research, analytical, and problem solving skills
• Effective skill exercising initiative and using good judgment to make sound decisions
