Accounts Payable Specialist

Seeking a detail‑oriented and proactive Accounts Payable Specialist to join a construction company in Daytona Beach FL! In this role, you will be responsible for managing all aspects of the accounts payable process—from invoice processing to vendor communication, compliance tracking, and payment scheduling.

Your New Role

• Review, verify, and process vendor invoices and all AP‑related transactions.
• Match purchase orders, delivery tickets, receiving documents, and invoices for accuracy prior to payment.
• Enter invoices into the accounting system following established processes and approval workflows.
• Prepare and schedule payments (checks, ACH, wires) in accordance with vendor terms.
• Maintain accurate and up‑to‑date vendor files, including W‑9s, payment terms, addresses, insurance, and compliance documents.
• Research and resolve discrepancies, pricing issues, missing tickets, and quantity variances in partnership with internal teams.
• Draft correspondence and communicate with vendors regarding payment status and required documentation.
• Generate AP reports such as aged payables, open POs, upcoming payment cycles, and invoice issue summaries.
• Assist the Financial Manager in reconciling AP statements and account balances on at least a bi‑monthly basis.
• Ensure all delivery tickets are collected, scanned, properly filed, and correctly matched to invoices and job numbers.
• Track subcontractor and vendor compliance (insurance certificates, lien waivers, releases).
• Process vendor lien releases and maintain documents in accordance with Florida Lien Law.
• Maintain a highly organized filing system for audits and internal review.

What You’ll Need to Succeed

• 3-5 years of accounts payable experience.
• Strong attention to detail, accuracy, and organizational discipline.
• Construction experience is MUST
