Position Overview
We are seeking a highly organized and detail-oriented Recruiting Coordinator to support our Talent Acquisition team. This role ensures a smooth and efficient hiring process by managing offer letters, background checks, onboarding documentation, interview logistics, and recruiting systems. The Recruiting Coordinator will also assist with a wide range of recruiting activities to support timely and successful hiring across the organization.
Key Responsibilities
- Draft, distribute, and track offer letters for selected candidates
- Coordinate pre-employment requirements including background checks, drug screens, and other compliance processes
- Manage and process new hire paperwork such as direct deposit forms, I-9s, and tax forms
- Create, distribute, and track Cognito forms to ensure accurate and timely completion
- Maintain candidate records in the applicant tracking system (ATS) and ensure compliance with internal policies and regulatory requirements
- Act as the primary point of contact for candidates during the onboarding process, providing guidance and support as needed
- Partner with recruiters and hiring managers to ensure smooth communication and alignment throughout the hiring process
- Sit in on interviews with hiring managers to support coordination and ensure consistency in the interview process
- Schedule interviews using Microsoft Outlook, coordinating availability across candidates and internal stakeholders
- Assist with travel requests and logistics for candidates and interviewers, ensuring a seamless experience
- Create job descriptions using the Hays format and update JazzHR accordingly to support recruiting needs
- Support additional administrative and operational duties within the Talent Acquisition function
- 1–2 years of recruiting coordination, HR, or administrative experience preferred
- Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment
- Excellent attention to detail and accuracy in handling sensitive information
- Strong written and verbal communication skills
- Proficiency with MS Office Suite (Word, Excel, Outlook); experience with ATS or HRIS systems is a plus
