Job Summary:
Reporting to the Executive Director of Athletics (AD), the (Temporary) Assistant Director of Operations oversees the day to day operations in Athletics. The Assistant AD is on the Athletics Department Leadership Team and assists with overall leadership of the department as needed and assigned by the AD. While this is not an exhaustive list of duties, it is a broad overview of the general duties of the position.
Compensation:
$48,000 - $58,000/year
Commensurate with qualifications, experience, and skills.
This is a temporary, full-time, exempt, on-site position. Located at St. Francis in downtown Honolulu and scheduled to end on February 1, 2026.
Qualifications:
Minimum Qualifications:
- Associates Degree.
- Excellent written and oral communication skills are essential for effective communication with a broad spectrum of internal and external constituencies.
- Proficient in technology and/or software required to complete job duties (i.e. Microsoft Office Suite, Finance/Travel/ERP related applications, etc.)
- Absolute confidentiality and highest level of integrity is expected in this position in order to maintain institutional control of the Athletics Department.
Desired Qualifications:
- Bachelors Degree.
- NCAA Division II experience preferred.
- Event Management/Game Day Supervision experience preferred.
- Athletics facilities experience is preferred with working knowledge of effective monitoring and problem-solving skills.
- Ability to manage multiple and simultaneous responsibilities and prioritize scheduling of work as needed by department and assigned by AD.
- Positive attitude and demonstrated ability to analyze and problem solve situations in an Athletics environment.
Other Qualifications:
- Candidates must be legally authorized to work in the United States. Visa sponsorship and relocation allowance is not available for this position.
- Report to work obligations to support the department and may require work during HPUs winter break, if necessary.
- This position may be considered an essential position with report to work obligations depending on the type of emergency, campus closure, or evacuation.
- Must meet training and background check qualifications and comply with the Protection of Minors policy.
- Upon hire, candidate must have reliable personal transportation to facilitate travel between to all HPU worksites and other locations as required by the position. This includes a valid drivers license and a personal vehicle that is legally registered and insured.
- Able to work all shifts and extended hours.
- Successful candidate will be able to work in an environment that utilize excellent time and stress management skills.
- Regular, reliable, non-disruptive attendance is essential for this position as is the ability to create and maintain collegial harmonious working relationships with others.
Key Responsibilities/Essential Job Functions:
- Department Facility & Event Management Oversight (60%)
- Serve as the day-to-day administrator of the Athletics Office.
- Develops and implements departmental policies to ensure/enforce department and conference event management responsibilities.
- Monitors and assists with the development of each programs game day and facility plan.
- Recommends and implements facility usage and improvement plans.
- Provides discerning evaluation of requests and provide AD with recommendations and sound advice.
- Assist with vendor on site duties.
- Responsible for timely and accurate forecasting
- Assist with travel planning as needed.
- Game Day & Fan Engagement Management (20%)
- Coordinate ticketing set up and administration with Home Town Ticketing.
- Assist with on site ticket management and problem solving as needed.
- Assist with fan engagement and concessions.
- Serve as event administrator when needed.
- Performs other related duties as assigned and needed by the department (20%)
- Actively participates as an effective member of the team by completing assigned duties, accepting additional assignments or reassignments.
- Assists with seasonal peaks.
- Contribute positively to overall success of the department.
