Job Overview
We are seeking a friendly, professional, and detail-oriented receptionist to be the first point of contact for our Dermatology Practice. This role is essential in creating a welcoming environment for clients while managing appointments, handling administrative tasks, and supporting daily operations. This role requires proficiency in medical terminology and experience with electronic health record (EHR) systems. A strong background in medical billing, coding, and patient service is highly desirable.
*Must be willing to travel to both Aiea and Kailua clinics (Aiea will be primary location for this position)
Responsibilities
- Greet and check in clients, ensuring a warm and professional experience.
- Schedule and confirm appointments while managing provider schedules efficiently.
- Answer phone calls, respond to inquiries, and provide information about services, while demonstrating excellent phone etiquette.
- Process payments, handle invoices, and maintain accurate client records while ensuring compliance with HIPAA regulations.
- Assist with patient intake forms and ensure compliance with dermatologic clinic policies.
- Maintain accurate patient files, including care plans and medical history documentation.
- Promote and educate clients on skincare products, memberships, and promotions.
- Provide clerical support including filing, typing, and managing correspondence.
- Collaborate with healthcare providers to facilitate effective patient care and communication.
- Support administrative tasks as needed to ensure smooth office operations.
- Maintain cleanliness and organization of the reception area and retail displays.
Experience
- Previous experience in a medical clinic, aesthetics/medical spa, or healthcare setting is preferred.
- Strong customer service and communication skills.
- Ability to multitask and work in a fast-paced environment.
- Proficiency in scheduling software and office management systems.
- Professional appearance and demeanor.
- Knowledge of medical terminology, insurance processes, and coding (CPT/ICD) is desired.
Job Type: Full-time
Pay: $18.00 - $22.00 per hour
