Full-Time: $42,000 – $45,000
Part-Time: $21 – $23 per hour (limited benefits)

Havenwood is a nonprofit organization that provides a two-year residential program and transitional housing for single mothers and their children. Our mission is to help families move from crisis to lasting self-sufficiency through stable housing, case management, and wraparound support addressing both mental health and practical needs.
The Program Coordinator plays a key role in creating a stable, well-organized environment that supports resident success. The primary responsibility of this role is to ensure the highest quality of care for the families we serve. A secondary responsibility is to steward, with excellence, the relationships we maintain with the community that supports our mission.
To be successful in this role, the Program Coordinator must be comfortable managing logistics, coordinating projects, supporting daily operations, and communicating effectively with individuals from diverse backgrounds.

Essential Duties and Responsibilities
This role is critical to ensuring the stability, organization, and daily execution of Havenwood’s program environment.
· Provide operational support to the Case Manager by coordinating schedules, logistics, and program needs. This includes maintaining organized records and supporting progress tracking.
· Support the intake process by coordinating background checks for prospective residents, scheduling appointments, and responding to initial inquiries in a timely and professional manner.
· Oversee apartment readiness between residents, including coordinating cleaning, maintenance, and furnishing to ensure each unit is safe, prepared, and welcoming for incoming families.
· In collaboration with the Executive Director, manage maintenance requests and vendor coordination, ensuring work is prioritized and completed efficiently.
· Partner with the Marketing & Community Engagement Manager to support the recruitment, onboarding, and coordination of volunteers serving Havenwood families.
· Coordinate program logistics, including group setup, special events, and weekly childcare support for resident programming such as Empowerment Nights (Tuesday evenings).
· Support day-to-day office operations, including managing office supplies and resident pantries, handling general communications, and maintaining an organized work environment.
· Ensure office and resident-facing technology and equipment are functioning properly, coordinating maintenance or updates as needed.
· Maintain building security procedures, including management of keys, access codes, and related systems.
· Oversee resident-focused special events, ensuring they are well-executed and aligned with Havenwood’s values.
· Contribute to a collaborative team environment. Occasional evening or weekend availability may be required.
· Perform other duties as assigned in support of program operations.

Clear communication and professionalism
Experience in nonprofit, operations, or coordination roles preferred
Bachelor’s degree preferred
Experience in social services, volunteer management, or nonprofit event planning is a plus
Knowledge, Skills, and Abilities
Demonstrates a high level of discretion and professionalism in handling sensitive and confidential information
Strong organizational and project management skills with attention to detail and prioritization
Comfortable learning and navigating systems such as Microsoft 365 and Bloomerang
Demonstrates sound judgment and the ability to operate effectively during both steady routines and periods of increased intensity
Communicates clearly and respectfully with diverse populations
