Salary: The Administrative Assistant supports the company by providing information and resources to allow for efficient and competent operations. Under the direction of the Controller, this role provides a high-level of administrative support including office administration, event coordination, document preparation and management.Responsibilities:Manage all administrative duties of the office. (i.e., answer phone, greet visitors, mail, officesupplies, office equipment, kitchen, overall office organization, etc.)Perform accounting functions such as payroll, accounts payable, accounts receivable, andother related accounting functions.Payroll: Functions include weekly timesheet data entry, new hires, terminations,union items, apprentice report tracking, manpower list, etc.Accounts Payable: Expense Reports, New Vendor/Subcontractor setup.Accounts Receivable: Cash Receipts data entry, New Customer setup.Fulfill the role of contract administrator by maintaining organized contract documentationrecords.Assist with administration of Pre-Construction department.Maintain the shared drive is aligned with administrative functions to ensure accuraterecord keeping.Ensure all documents get uploaded into the accounting system; develop system check toensure the information is accurate, up-to-date and easily accessible to internaldepartments.Take ownership in actively reconstructing, auditing, and requesting process improvementsthat create a more efficient and active record keeping process for administrative items.Receive all internal support requests for company hardware and software.Work closely with the Regional Controller to support the financial and administrative tasks.Develop and maintain positive professional relationships both internally & externallycreating smooth operations.Qualifications:Strong computer skills; proficiency in MS Office.Excellent time management skills and the ability to prioritize work.Attention to detail and problem-solving skills.Excellent written and verbal communication skills.Strong organizational skills with the ability to multitask.High School diploma or equivalent.Work Environment:This job mainly operates in an office setting using standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.Salary Range:$50,000 - $55,000Benefits:401(k)401(k) matchingDental insuranceHealth insuranceLife insuranceVacationTuition reimbursementVision insuranceSchedule:Monday to FridayWork setting:OfficeWork Location:In personEqual Employment OpportunityHATZEL & BUEHLER provides equal employment opportunities (EEO) to all employees and applicants for employment without regard to race, color, religion, sex, national origin, age, disability or genetics.
