The Fleet Department is responsible for generating high-volume vehicle sales to businesses, government agencies, municipalities, rental companies, and commercial accounts. The department focuses on repeat business, contract pricing, efficient ordering, and long-term account relationships rather than traditional retail transactions.

Key Responsibilities:

Sales & Account Management

  • Develop and manage relationships with commercial, government, and corporate fleet accounts
  • Prospect new fleet customers through outbound calls, visits, bids, and referrals
  • Maintain ongoing relationships to secure repeat and long-term contracts
  • Handle RFQs, RFPs, bids, and special pricing programs

Vehicle Ordering & Inventory

  • Coordinate factory and dealer trades for fleet-specific orders
  • Manage build sheets, upfits, and special equipment requirements
  • Track production, delivery timelines, and allocation
  • Ensure vehicles meet customer specifications before delivery

Pricing & Profitability

  • Structure competitive fleet pricing while protecting dealership margins
  • Understand OEM fleet incentives, rebates, and programs
  • Work closely with management to approve pricing and volume deals

Paperwork & Compliance

  • Prepare accurate fleet contracts, titles, registrations, and tax documentation
  • Ensure compliance with OEM fleet guidelines and government regulations
  • Coordinate with the business office and DMV for timely processing

Delivery & Customer Satisfaction

  • Coordinate vehicle deliveries, upfits, and bulk drop-offs
  • Ensure smooth, on-time delivery experience
  • Handle post-sale follow-up, billing questions, and service introductions

Internal Coordination

  • Work closely with:
  • Sales management
  • Finance & Business Office
  • Service and Parts departments
  • OEM fleet representatives

Key Performance Indicators (KPIs)

  • Fleet units sold (monthly/annual)
  • Gross profit per unit
  • Account retention and repeat business
  • Order-to-delivery turnaround time
  • Customer satisfaction and contract renewals

Skills & Qualifications

  • Strong B2B sales and negotiation skills
  • High attention to detail and organization
  • Knowledge of OEM fleet programs and incentives
  • Ability to manage multiple large orders simultaneously
  • Excellent communication and relationship-building skills

The Fleet Sales Coordinator Position has a Pay Scale consisting of the following elements and ranges. Wages include Base Monthly Compensation of between $5,000 and $20,000. The position may also pay commission compensation which is based on the value or amount of closed sales achieved from $0.00 (if no sales are made) without any upper limit other than sales performance. The position also may also pay a production bonus based on individual or team performance that may range from $0.00 (if baseline benchmarks are not met) without any fixed upper limit.
