Job Summary:

We’re seeking a highly technical, mission-driven Sustainability Systems Administrator to serve as the backbone of our growing sustainability team. This role is central to how we track, manage, and report environmental data with accuracy and efficiency.

You will own the full lifecycle of our sustainability systems—from setup and user onboarding to optimization and data integration—acting as the key link between complex datasets and the tools that turn them into actionable insights.


This is a hands-on, proactive role for someone who enjoys solving problems and leveraging technology to advance sustainability and health & safety efforts.


Job Responsibilities:

Platform Administration & Ownership

  • System Ownership: Serve as the primary administrator for sustainability and HSE software platforms, managing backend configurations, user roles, permission structures, and data architecture from the ground up.
  • Integration Management: Oversee and maintain data pipelines between sustainability platforms and enterprise systems (ERP, utility data providers, finance systems), ensuring seamless, accurate data flow across the organization.
  • Vendor Liaison: Act as the primary point of contact with software vendors for escalations, roadmap input, and platform updates, advocating for configurations that meet our specific operational needs.
  • System Health Monitoring: Proactively audit platform performance, identify data anomalies or configuration drift, and implement corrective actions before they impact reporting cycles.


Smartsheet Architecture & Workflow Design

  • Advanced Smartsheet Build-Out: Design, deploy, and maintain sophisticated Smartsheet environments including multi-sheet workflows, cross-sheet formulas, automated approval chains, and executive-level dashboards for project tracking and sustainability milestone management.
  • Workflow Automation: Build and manage automated alert and update workflows that reduce manual touchpoints across data collection, review, and sign-off processes.
  • Reporting Infrastructure: Develop interconnected report structures and real-time portfolio views that give leadership clear visibility into sustainability program progress, resource utilization, and deliverable timelines.


Data Management & Reporting Support

  • Advanced Data Operations: Execute complex data manipulation, transformation, and cleanup tasks in Excel (pivot tables, VLOOKUP/XLOOKUP, Power Query, macros) to prepare datasets for regulatory submissions, third-party audits, and internal dashboards.
  • Data Ingestion & Entry Support: Perform accurate manual data entry and upload tasks to ensure timely population of sustainability platforms, including importing activity data, utility records, and other source inputs required for reporting cycles.
  • Audit Readiness: Maintain clean, well-documented data trails and system logs that support external verification processes and internal governance reviews.


KPI Configuration & Sustainability Metrics

  • Metric Translation: Work closely with our sustainability professionals to translate qualitative goals and commitments into quantifiable KPIs that can be tracked and reported within our digital tools.
  • Dashboard Development: Build and maintain performance dashboards that visualize progress against emissions reduction targets, energy efficiency goals, water usage benchmarks, waste diversion rates, and other ESG metrics.
  • Data Governance: Establish and enforce data entry standards, calculation methodologies, and naming conventions to ensure consistency and auditability across all sustainability reporting.


Process Improvement & Automation

  • Efficiency Engineering: Continuously identify manual, repetitive processes within the sustainability data lifecycle and implement technical solutions to automate or streamline them.
  • Disclosure Acceleration: Improve the speed and accuracy of sustainability disclosures by building repeatable, auditable data pipelines that reduce time-to-report across annual reporting cycles.
  • Technology Scouting: Stay current on emerging sustainability technology solutions and proactively recommend tools or integrations that would strengthen our data infrastructure.


Job Requirements:

  • 3 years of hands-on experience administering enterprise-level SaaS platforms in a technical capacity; ability to independently learn, configure, and troubleshoot new tools without heavy reliance on vendor support.
  • Expert-level Excel skills including Power Query, pivot tables, dynamic arrays, and data modeling for large, complex datasets are non-negotiable.
  • Advanced Smartsheet skills including complex formula logic, cross-sheet references, automated workflows, and dashboard design.
  • Strong ability to map complex data flows, identify integration gaps, and maintain data integrity across multiple interconnected platforms.
  • A rigorous, methodical approach to system validation, data QA/QC, and configuration documentation.
  • Direct experience configuring or administering Sphera EHS, Watershed, Persefoni, Enablon, or a comparable enterprise sustainability management system.
  • Familiarity with REST APIs, webhook configurations, or iPaaS tools (e.g., Zapier, Make, Workato) to support system integrations
  • Experience with Power BI, Tableau, or Looker for supplemental sustainability data visualization.
  • Working knowledge of Python or SQL for data wrangling and transformation tasks is a meaningful plus.
  • Experience supporting or coordinating cross-functional sustainability initiatives in a corporate environment.
