We are looking for a front desk Secretary, preferably with dual language abilities in English and Spanish, to support our medical front office. Patients, visitors and medical staff will turn to you for information and help with administrative issues. Our medical secretary will be professionally dressed in scrubs, able to answer phone calls efficiently, dela with patience and compassion with all, and be experienced in secretarial work. Excellent communication skills, speed of execution and team spirit are a must
If you are patient, computer-savvy, can multitask and commute reliably, we’d like to meet you. Your goal will be to ensure the smooth workflow of our medical facilities, so that our patients receive the best possible care.
The candidate must have a functioning car with a valid NJ driver's license to commute to and from the office to ensure punctuality in patient care.
Responsibilities
- Receive and assist patients as needed
- Type/Print medical documents (e.g. physician dictations and patient charts)
- Maintain/Create detailed patient and medical records/charts
- Verify patient benefits and eligibility with insurances
- Obtain preauthorization for patient tests as directed by physician in a timely manner
- Obtain patient records from outside source and follow up diligently until all records requested are received
- Manage office communications as directed (e.g. phone, correspondence, voicemail messages) with complete professionalism at all times
- Schedule medical appointments/make patient appointment reminder calls/ missed appointment calls
- Work amicably and synchronously with other staff members to maintain a professional work environment.
- Process patient copayments and maintain a daily meticulous log of the same
- Ensure confidentiality of sensitive information
- Ensure diligence in completing daily share of chores assigned
Skills
- Proven experience as a medical secretary or similar administrative position is preferred
- Knowledge of medical terminology, regulations and medical office procedures is preferred
- Ensure personal, workplace and professional cleanliness and hygiene
- Familiarity with basic bookkeeping
- Efficient communication skills
- Patience, compassion and discretion at all times
- Eagerness to learn.
- Organizational and multitasking skills
- High school diploma: additional training as a medical administrator and multi-lingual in Spanish is a plus
