What are the responsibilities and job description for the Medical Records Clerk/Scheduler position at Harrison Nursing and Rehabilitation Center?
POSITION PURPOSE:
To ensure proper maintenance of pertinent medical records in accordance with all current federal, state, and local standards, guidelines, and regulations.
Responsible for coordinating and maintaining monthly staffing schedules. Ensure there is appropriate coverage daily for resident care. Fill in as needed on schedule with staffing needs.
ESSENTIAL FUNCTIONS OF POSITION:
• Prepares folders and maintains records of newly admitted residents and discharge residents.
• Organize the Medical Records Department in accordance with established policies and procedures, including electronic medical records.
• Reviews medical records for completeness, assembles records into standard order, and files records in designated areas according to applicable alphabetic and numeric filing system.
• Locates, signs out, and delivers medical records requested.
• Organizes discharge and Medicare record charts.
• Performs monthly thinning and filing of medical charts.
• Processes daily mail to be sent to physicians for signatures.
• Inventories and orders supplies for nursing department.
• Understands and adheres to the guidelines of “Resident’s Rights”.
• Participates and attends periodic in-services and staff meetings.
• Participates in departmental budget planning and supplies monthly reports to Administrator.
• Coordinate Medical Records Consultant visits.
• Creates and maintains staff schedules.
• Updates Daily Staffing Schedules and ensures they are visibly posted.
• Provides staffing for sick leave, vacation, long-term leave.
• Schedules staff according to care needs, service criteria, care plans and staff availability.
• Enters scheduling data, creates schedules.
• Contacts staff regarding day-to-day changes.
• Responsible for keeping updated staff phone list.
• Enters staff information into scheduling databases.
• Maintains staff statistics, and reports.
• Maintains call-ins, on call coverage 24/7, capacity and retention reports.
• Performs general office duties.
• Perform additional duties as assigned.
EDUCATION/REQUIREMENTS:
Six (6) months previous experience with medical records while working in a medical healthcare setting; or equivalent combination of education and experience. Must have thorough knowledge and understanding of Medical Terminology. Long-term care experience a plus. Prior scheduling experience preferred. Must have good communication and computer skills.
