This role is integral to creating a welcoming, professional environment for clients and ensuring the smooth day-to-day operations of the office.
What You Will Do:
- Welcome clients and visitors upon arrival at reception.
- Answer, screen, and forward phone calls in a professional manner.
- Assist clients and visitors with the location of legal staff.
- Schedule and confirm appointments.
- Set up conference rooms for client meetings, including setting up Teams meetings for remote clients and associates.
- Prepare meeting facilities and arrange refreshments, if required.
- Disinfect & wipe down conference rooms after client meetings, common areas, and breakroom.
- Observe business etiquette and maintain a professional appearance.
- Direct the flow of mail, faxes, and deliveries to reach the intended recipients, including driving to deliver certified mail to USPS or Fed Ex.
- Sort and distribute mail and packages
- Meter outgoing mail
- Prepare certified receipts
- Prepare packages for pick up
- Order and replenish office supplies, including food and beverage items for the office kitchen, and upkeep of kitchen. May need to lift 10-20 lbs. of supplies when replenishing.
- Assist with copying, scanning, faxing, emailing, and note-taking.
- Maintain and update the library of legal reference texts and maintain front desk manual.
- Ability to work in our Burlingame, CA office five days/week from 8:00am to 5:00pm PST.
- Available for overtime, often with little advance notice.
- 2 years prior experience as a receptionist in a law firm or other professional services organization.
- High school diploma or General Educational Development credential (GED).
- Experience in:
- operating Microsoft Teams to answer, transfer, and forward calls.
- using Microsoft Outlook or comparable email system.
- locating and using information stored on various computer sites (internet, firm portal page, directories, schedules).
- Professional appearance; friendly, customer service approach.
- Ability to:
- handle difficult situations with tact and diplomacy.
- exercise initiative and sound judgment when no one else is available to help.
- sit for long periods of time.
- bend, lift, reach, twist, and push while sitting or standing.

Salary : $50,000 - $65,000
