JOB TITLE: Executive Assistant

REPORTS TO: Chief Operating Officer

The following statements reflect the general duties, responsibilities and competencies considered necessary to perform the essential functions of the job and should not be considered as a detailed description of all the work requirements of this position.

RESPONSIBILITIES:

  • Provide support to COO primarily and provides additional support to executive team members as directed
  • Manage professional and personal scheduling for COO, including agendas, mail, email, phone calls, client management, and other company logistics
  • Coordinate complex scheduling and calendar management, as well as content and flow of information to senior executives
  • Manage senior executives’ travel logistics and activities, including accommodations, transportation, and meals
  • Provide administrative and office support, such as typing, dictation, transcription, minutes, spreadsheet creation, faxing, and maintenance of filing system and contacts database
  • Organize team communications and plan events, both internal and off-site
  • Compiles and analyzes basic information and prepares statistical data for reporting purposes.
  • Prepares presentation materials; creates power points, charts, graphs, tables, graphics, etc.
  • Maintains office inventory and supplies as needed
  • Maintain professionalism and strict confidentiality with all materials
  • Maintain calendars through Microsoft Outlook
  • Cover executive office telephones and assist other staff, as needed
  • Prepare materials for distribution
  • Special projects as assigned

QUALIFICATIONS:

· 5-10 years relevant experience and college degree preferred

· Strong written and oral communication skills

· High proficiency in Word, Excel, Outlook, and Power Point

· Ability to learn and be efficient in new software (training will be provided)

· Able to work independently and manage workflows in a fast paced and highly confidential environment

· Excellent organizational and time management skills

· High attention to detail

· Ability to multi-task with efficiency and accuracy

SALARY: $55,000- $65,000
