Job Overview:
If you are looking for a challenging and rewarding administrative role with a respected photography studio, then the role of Appointment Scheduler may be the perfect fit for you. As an Appointment Scheduler, you will be responsible for managing client appointment requests and help to ensure the smooth running of the Portrait Division. You will need excellent communication and organizational skills to coordinate and schedule daily client appointments, and will consistently remain professional while interacting with both clients and staff. We target this role to be 20-25 hours per week to start with potential to become a full-time position in the future.
Job Responsibilities & Duties:
- Answering and responding to phone calls and emails in a timely manner
- Scheduling and confirming appointments based on availability and urgency
- Maintaining and updating appointment calendars
- Coordinating between clients, Portrait Sales Consultant and Photographers to ensure smooth scheduling
- Providing clients with necessary pre-appointment instructions
- Managing cancellations and rescheduling requests
- Verifying client information and ensuring accuracy in record-keeping
- Handling any conflicts or issues that may arise in the scheduling process
- Communicating effectively with other departments to ensure seamless operations
- Utilizing scheduling software and tools efficiently
- Monitor invoicing
- Adhoc reporting
- Additional duties as assigned by Studio Director
- Deliver excellent customer service at all times
Qualifications & Skills:
- Previous experience in scheduling or administrative role
- Proficiency in scheduling software and tools
- Excellent customer service skills
- Strong organizational abilities
- Ability to handle high-pressure situations calmly
- Strong written and verbal communication skills
- Ability to work independently and as part of a team.
- High school diploma or equivalent
- Basic computer literacy
