Job Summary
The Documentation Coordinator is the "Information Engine" of our facility. Moving beyond traditional administrative support, this is a critical project-control position responsible for ensuring that complex architectural and engineering data is accurately translated into manufacturing instructions.
The ideal candidate possesses a "technical brain"—someone who enjoys high-volume data accuracy, understands the lifecycle of a construction project, and is eager to optimize internal systems. Essential Duties and Responsibilities
Technical Data Control: Manage the flow of technical documents and specifications from external architectural partners into our internal production and manufacturing systems.
System Optimization: Assist in the maintenance and improvement of our internal project management tools. Identify opportunities for data automation and process efficiency.
Liaison & Communication: Act as a professional bridge between administrative, sales, and manufacturing teams to ensure data integrity and project continuity.
Project Documentation: High-volume data entry and record-keeping with a "zero-error" mindset, ensuring all engineering specs, material codes, and revision numbers are current and accessible.
Quality Assurance: Perform systematic checks to ensure the manufacturing team is working from the most recent version of project drawings and specifications.
Reporting: Utilize spreadsheets and internal tools to track project progress and generate reports on document status for senior leadership.
Qualifications:Experience & Qualifications
Experience: One or more years of experience in project coordination, document control, or a related technical-administrative role, preferably in an architectural, engineering, or construction (AEC) environment.
Technical Mindset: While an Architecture, Design, or Engineering background is preferred, we value "power users" of software (Excel, CAD, Revit, or ERP systems) who understand how to manipulate and organize complex data sets.
Detail Obsession: A proven track record of managing high volumes of documentation without sacrificing accuracy.
Skills: Exceptional written and verbal communication skills for clear interaction with staff and external partners (construction firms, designers).
Work Ethic: Highly motivated, detail-obsessed self-starter who is comfortable with a high volume of technical documentation and managing performance based on accuracy metrics.
Education: Associate’s or Bachelor’s degree in Architecture, Business, or a related technical field is preferred; High School Diploma or equivalent required.
